Full job description

Overview
Unitherm Heating Systems Ltd. is seeking a highly organised and proactive Service Coordinator to support the smooth operation of our service department. This role involves managing service workflows, coordinating with technicians and customers, maintaining accurate documentation, and contributing to continuous process improvements. Over time, additional responsibilities in warranty processing and stock management will be incorporated as the role develops.

Key Responsibilities
Service Scheduling & Workflow Management

Schedule service appointments based on client requirements and technician availability.
Track incoming service requests, assign tasks, and ensure timely completion.
Monitor job progress and update relevant stakeholders throughout the process.
Customer Communication
Act as the primary point of contact for customers regarding service updates, queries, and follow-ups.
Provide clear, timely, and professional communication to ensure a positive customer experience.
Maintain accurate records of all service activities.
Prepare service reports and assist in monitoring performance metrics.
Ensure proper documentation is completed and filed for internal and regulatory purposes.
Identify inefficiencies in daily operations and recommend improvements to enhance workflow, productivity, and service quality.
Log and inspect incoming parts and materials for accuracy and quality.
Organise and prepare outgoing shipments to field teams and customers.
Ensure all service-related activities align with company policies, industry standards, and regulatory requirements.
Collaborate with service managers, field technicians, and administrative support teams to achieve departmental goals.
Support cross-functional communication to maintain smooth operations.
Receive, verify, and submit warranty claims to manufacturers and suppliers.
Liaise with suppliers to ensure timely processing and resolution.
Conduct regular stock counts and investigate / reconcile discrepancies.
Monitor inventory levels and reorder parts as required to avoid shortages.
Assist in maintaining accurate stock records within inventory systems.
This role is based at Unitherm Heating Systems Ltd., Galway Office.
