Payroll and Office Administrator – Job Details
Contract: Full Time/Permanent
Start date: 9th August (or sooner if possible)
Salary: DOE
Hours of work: 36.5 hours per week, Monday – Thursday 9.00am - 5.00pm & Friday 9am – 4pm
Overview
The Payroll and Office Administrator will be responsible for the accurate and timely processing of the payroll for the team and for all administrative duties within Aras Mhuire. This role requires strong organisational and multitasking skills, with the ability to manage competing priorities in a busy care-centre environment.
Reporting directly to the Director of Nursing (DON) and liaising with the Business Manager, the Payroll and Office Administrator plays a key role in ensuring the smooth and efficient running of Aras Mhuire Nursing Facility.
Main Responsibilities
Payroll
- Accurately process payroll within required timelines using specialist software.
- Ensure all payroll records are accurately maintained.
· Verify timesheets and ensure timely submission.
- Respond to payroll-related queries and resolve discrepancies.
- Prepare payroll reports and reconciliations.
- Generate reports on earnings, deductions, and taxes for management.
- Liaise with the relevant authorities regarding payroll matters.
Administration
- Perform administrative tasks including filing, photocopying, scanning, and transcribing.
- Assist with the updating of policies and procedures.
- Audit staff files to ensure compliance with employment legislation, regulations and standards.
- Audit group training records and liaise with the DON.
- Assist with planning and preparing training days.
- Provide support with enquiry management and candidate recruitment systems.
- Upload staff rosters into the TMS system.
- May be assigned to carry out other responsibilities/duties by DON where necessary.
- Communicate and build good relationships with all staff and provide support and advice when necessary.
Front of House
- Provide accurate information in person, by phone, and via email in a professional manner.
- Order and manage office supplies.
Essential Criteria
- Proficiency in Sage payroll software or another payroll package.
- Proven experience as a Payroll Processor and an Office Administrator
- Commitment to maintaining strict confidentiality and compliance with GDPR and data protection policies.
- Assist in audits and provide the required payroll documentation when necessary.
- Strong numerical and analytical skills.
- Proficiency in Microsoft Office Suite.
- Experience using office equipment (printers, scanners, etc.).
- Professional demeanour with strong attention to detail.
- Ability to manage multiple tasks and adapt to changing priorities.
- Excellent multitasking, organisational, and time-management skills.
- Excellent attention to detail and professional communication skills.
- The ability to work as part of a team as well as the ability to work independently.
- Fluent in spoken and written English.
Desirable Criteria
- Relevant qualification in Payroll processing.
- Previous experience in a similar role.
- HR knowledge desirable
- Knowledge of HIQA and EHO requirements
