Office Administrator with Quality & Accounts Support (In-Person Role, Co. Leitrim)
About the Role
We are seeking an organised, reliable and detail-focused Office & Accounts Administrator to support the day-to-day running of our busy food manufacturing office.
This is a varied role involving general office administration, customer invoicing, debtor follow-up, accounts paperwork, quality documentation support, and preparing documents for the bookkeeper.
The successful candidate will report to the Operations Manager and will work closely with management, customers, suppliers and the wider team.
Key Responsibilities
Your responsibilities will include:
- Acting as a first point of contact for customers, suppliers, visitors and team members
- Handling phone calls, emails and general correspondence
- Preparing customer invoices and supporting accounts administration
- Following up on customer payments and outstanding debtor balances
- Preparing and organising paperwork for the bookkeeper
- Maintaining accurate office records, filing systems and documentation
- Assisting with purchase orders, customer orders and delivery paperwork
- Supporting scheduling, logistics and general office coordination
- Assisting with quality documentation and food safety records
- Organising and maintaining digital files, cloud folders and office documents
- Supporting HR administration, including holidays, training records and staff paperwork
- Taking meeting notes and following up on agreed actions
- Supporting the Operations Manager and Managing Director with administration, planning and follow-ups
- Assisting with SOPs, internal forms and process documents as required
- Providing general administrative support to management and the wider team
About You
We are looking for someone who is organised, trustworthy and capable of managing a busy and varied workload.
The ideal candidate will:
- Have previous experience in an office administration or accounts administration role
- Be confident working with invoices, paperwork, records and customer accounts
- Have strong attention to detail and good follow-through
- Be comfortable following up with customers regarding payments
- Be organised and able to manage multiple priorities
- Communicate clearly and professionally
- Be able to work independently and as part of a team
- Be comfortable using Microsoft Office, especially Excel, Outlook and Word
- Have experience with accounts software, which would be an advantage
- Be tech-savvy and comfortable using digital folders, spreadsheets and cloud-based systems
- Have a structured and process-focused approach to work
- Have experience in the food sector or manufacturing environment, which would be an advantage but is not essential
