Job Purpose
To provide administrative services for client campus and to support the Facilities Team
Role Summary
Based in the Dublin Tower, a state-of-the-art corporate campus, this role demands exceptional attention to detail and strong organisational skills. You will be responsible for managing the client’s centralised ticketing system for both planned and reactive works.
A genuine passion for customer service and a commitment to delivering a 5-star experience are essential. The ideal candidate will bring enthusiasm, a solid understanding of Facilities Services, and a strong ability to work collaboratively within a team. Excellent coordination, time management, and problem-solving skills are fundamental requirements for success in this role
Key Responsibilities:
Monitor and Manage Virtual Tools
Regularly check the ticketing systems and relevant communication channels for new requests or updates
First Response & Ticket Allocation
Provide initial responses to all employee requests
Allocate tickets to the appropriate local teams (e.g. Hard & Soft Services)
Ensure notifications are sent to the relevant team via email or instant messaging
Administrative Support
Complete ad hoc administrative tasks as required & provide support to the associate manager
Support routine monthly admin duties to ensure smooth operation
Team Support & Collaboration
Assist the wider Workplace Services (WPS) team as needed
Support & manage supplier onboarding and access to the site
Essential Skills & Experience Required:
Structured and Organised Work Style Ability to manage tasks efficiently with a clear, methodical approach
Strong Technical and Computer Skills Comfortable with digital tools and platforms; quick to learn new systems
Administrative Competence Proven ability to handle administrative tasks with accuracy and attention to detail
Team Player Collaborative mindset with a willingness to support colleagues and work toward shared goals
Reliable and Independent Work Ethic Capable of working autonomously while maintaining high standards
Strong Sense of Ownership Takes initiative and responsibility for tasks and outcomes
Analytical Thinking Ability to connect the dots across teams, sites, and regions
Excellent Communication Skills High level of fluency in English, both written and verbal
Flexibility Willingness to adjust schedule occasionally to support requests from the business
Proven Prioritisation & Problem-Solving Abilities Skilled at managing competing priorities and finding effective solutions
Resourcefulness Demonstrates creativity and initiative in overcoming challenges and finding answers
Tools & Expertise – Preferable Experience:
Google Workspace (Docs, Sheets, Slidesols, Calendar, etc.) Confident use of collaborative Google tools in a fast-paced environment
Ticketing Tool Experience managing requests and workflows via the Real Estate & Workplace Services platform
Instant Messaging Proficient in IM for communication, ticket triage, and team collaboration
Tracker Management Familiarity with project tracking or team coordination
Finance Exposure to procurement and budgeting platforms for raising POs and managing spend
Taskforce or Specialist Group Participation Experience contributing to cross-functional or project-based teams
Regional / EMEA Stakeholder Relationships Previous collaboration with regional and/or EMEA-level stakeholders
