Role Summary
We are seeking a driven, highly organised, and technically minded Assistant Facilities Manager to support the operational maintenance and statutory compliance of our growing Dublin portfolio. This role is pivotal in ensuring a safe, compliant, and premium living environment for our residents while delivering exceptional customer service.
Reporting directly to the Facilities Manager, the Assistant Facilities Manager will be responsible for the day-to-day, direct management of our on-site team of Maintenance Technicians. The role currently spans two prime locations (Glass Bottle, Sandymount Strand and Cross Avenue, Blackrock) covering three prominent assets with 630 apartments and an active pipeline of future developments following closely behind as the company expands.

Key Role Responsibilities Mobilisation & Asset Delivery (Pre-Project Completion)

Snagging & Defect Tracking: Work closely with the main building contractor and relevant sub-contractors to identify snagging issues and ensure obligations under the defect liability period are met in a timely manner. This includes coordinating the collection of warranties and ensuring the team adheres to manufacturers' guidelines on all building systems.
- Procurement Support: Work closely with the Facilities Manager during the contractor selection process to ensure the responsible procurement of all third-party contractors on-site, with approval from the Regional Manager.
- Technical Data Onboarding: Responsible for the management and direct transfer of contractor data, including RAMS, Insurance, Warranty information, and Manufacturer/System Specifications, into CompassRock's internal file shares and most critically, Vantify Risk Management system.
- Training & Standard Operating Procedures: Continuously create, improve and deliver training materials for building systems and property-specific maintenance tasks. Prepare all relevant compliance and operational documentation utilising the company-provided Standard Operating Procedure (SOP) templates.
- Inventory Mobilisation: Assist the Facilities Manager in compiling the initial critical spares list for the mobilisation budget order and subsequently support the ownership of the maintenance of this inventory going forward.
Post-Project Completion & Compliance Coordination

Statutory Compliance Execution: Coordinate the day-to-day servicing and maintenance of the buildings' hard services, M&E, and life safety equipment. Ensure that all systems under your control are fully operational and certified in accordance with fire regulations, Health and Safety Authority (HSA) guidelines, and statutory laws within Ireland.
- PPM Program Implementation: Implement and supervise the day-to-day delivery of the comprehensive planned preventative maintenance (PPM) programme developed for all on-site services and equipment. Work closely with the Property Manager at each site to schedule access with residents and ensure 100% completion of mandatory H&S and PPM works.
- Contractor Compliance Management: Supervise external contractors on-site daily, ensuring all required operational documentation is fully up to date, reviewed, and filed accordingly within our compliance platforms; this includes SLAs, RAMS, Public Liability (PL) Insurance, and specific training requirements (e.g., Safe Pass, manual handling, etc.).
- Technical & Safety Inspections: Conduct weekly physical inspections and monitoring of maintenance routines for the buildings, hard services, M&E, and life safety equipment to ensure peak asset performance.
- Conduct detailed weekly inspections of all internal and external common areas and resident amenity spaces to proactively identify and eliminate any fire, health, or safety risks, taking full ownership of the same at property level, along with the Facilities Manager.
- Team Supervision & Development: Work closely with HR and the Facilities Manager to mentor, manage, and develop a cohesive on-site team of maintenance technicians. Direct daily tasks to ensure work orders are executed quickly, efficiently, and in strict compliance with health and safety requirements.
Day-to-Day Portfolio Operations

Apartment Turn-Around (Make-Ready): Directly manage and support the maintenance team to ensure vacant apartments are turned over, certified (third-party and internally), and fully "market ready" ahead of scheduled resident move-ins.
- Service Request Triage: Oversee the resident ticketing queue, supporting and prioritising urgent maintenance requests while ensuring all standard repairs are resolved in a timely fashion.
- Estate Presentation & Cleanliness: Partner with the housekeeping team and the Property Managers to ensure that the wider community, external grounds, and estate surroundings are kept clean, litter-free, and maintained to the highest standards.
- Quality Assurance Auditing: Maintain strict quality control over all technician works and community appearance by carrying out regular, structured property inspections and estate tours.
- Health & Safety Lead / Super-User (Vantify Risk Manager): Supervise the installation and routine testing of residential safety features, including smoke and carbon monoxide alarms.
- Partner with the Property Manager and Facilities Manager to conduct emergency audits of plant equipment, alongside the mandatory recording and testing of life safety systems such as Automatic Opening Vents (AOVs).
- Oversee strict Legionella compliance, ensuring the maintenance team executes and records weekly flushing and temperature logs for all vacant units.
- Directly assist in undertaking operational risk assessments, maintaining comprehensive statutory building logs, and preparing required safety incident reports.
- Hands-on Technical Escalation: Provide secondary technical support and guidance to the technician team, assisting with the repair or replacement of appliances, plumbing systems, heating/HVAC networks, electrical systems, and general unit finishes.
- Resident Logistics & Fabric Protection: Facilitate the physical logistics of resident move-ins and move-outs, installing protective measures to prevent damage to common area walls, lifts, and doors.
- Waste & Materials Management: Coordinate with the wider estate team (Internal and External partners) to ensure waste management schedules run seamlessly, overseeing the internal and external rotation of bins and ensuring bin stores remain compliant and hygienic.
Team, Financial & Asset Administration

On-Call Rota Management: Create, maintain, and oversee (with the support of the Facilities Manager) the out-of-hours maintenance on-call schedule for the technician team with the support of the Property Manager, ensuring robust 24/7 emergency coverage across the assets.
- Financial Oversight & Procurement: Assist the Facilities Manager and Property Managers with annual budget preparation by providing on-site data. Maintain strict familiarity with the property budget to support the responsible ordering of critical spares, turn-key maintenance items, and contracted services.
- Asset Register Maintenance: Take ownership of tracking, updating, and maintaining the live property asset registers across all managed locations.
- Team Performance Monitoring: Support a winning team culture aimed at outperforming the asset Business Plan. Cultivate a market-leading brand experience where residents are happy, and investors recognise clear platform value.
- Conduct bi-weekly, structured supervision and performance appraisal reviews with the maintenance technician team. Maintain a file of everyone and track performance against KPIs set by the Facilities Manager with alignment from the Regional Manager.
Candidate Attributes / Requirements

Professional Experience: Minimum of 5 years of experience in the hard facilities management of buildings, or in the direct installation and maintenance of commercial/residential mechanical, electrical, and heating services. Alternatively, 2–3 years of direct supervisory experience in maintenance or facilities management roles.

- Local Market Knowledge: Familiarity with the Dublin area and local property management dynamics is highly advantageous.
- Computer Literacy: Strong proficiency in the Microsoft Office suite (Outlook, Excel, Word) and experience working with specialised property compliance software or CAFM systems (experience with Meridian / Vantify Risk Manager or similar platforms is a distinct advantage).
- Mobility: Must hold a clean, valid Irish driving license to facilitate travel between portfolio sites.
