Orchard Community Care operates across Ireland providing residential, respite, outreach and day services to both children and adults with medium to profound disability including those with life limiting conditions. We have both children’s and adult’s residential homes in the community and also offer both children’s and adults respite.
The successful candidate will play a key role in enabling the Referrals, Assessment & Admissions Manager to operate efficiently and effectively and help build brighter futures for the people we support and our teams.
This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Summary of Responsibilities

Support the Referrals, Assessment and Admissions Manager, in all administrative duties pertaining to all stakeholder relationships and placements across Orchard Community Care.

Keep up to date information on HSE, Tusla and Discharge Managers information, and communicate with them regularly regarding current and upcoming vacancies in Orchard Community Care.

Track and monitor all placement agreements across Orchard Community Care.

Support in the completion of all requisite referral’s applications and processing of all referrals from start to finish. Working with and supporting the Regional Director and MDT to progress these.
- Supporting with the maintenance of existing funding arrangements for the people we support, ensuring these are kept up to date following care reviews, and are reflective of current support needs.

Maintaining positive working relationships with the Operations Teams, and a strong understanding of current service activity.
- Working with marketing to ensure all material is up to date and the strategy is aligned to the live availability.

Ensure, with the Referrals, Assessment and Admissions Manager, that assessments are carried out in a timely manner and stakeholders responded to with update.

As part of the house opening team, support in ensuring houses are opened within the scheduled timeline.

Maintaining a stakeholder contact database and keeping this up to date.

Prepare minutes at relevant meetings throughout the year in a timely manner to a high standard

Collate information requested from HSE and Tusla and keep databases up to date in line with regulations and national standards as well as company policy and procedures and assist with business case development where required

Generate statistical reports as and when required

To have excellent working relationships with relevant employees in all divisions of Orchard Care Group
About the Ideal Candidate
-
At least two years proven experience as a Personal Assistant, Executive Assistant or in a Corporate Services role (HR, Finance etc)
- The ideal candidate will have experience in the care industry, which may be in the public, voluntary, or private sector.

Familiarity with collaboration tools such as Microsoft Teams, SharePoint, and other digital platforms & highly proficient in all Microsoft 365 programmes

Ability to set clear objectives and work in a systematic way

Ability to generate reports and collate and analyse data

Excellent organizational and time-management skills with the ability to work to tight deadlines

Strong written and verbal communication abilities.

High level of discretion and professionalism.

Full current driving license with full eligibility to drive in Ireland, and access to a vehicle
