Role Overview
We are seeking an FM Works Partner to take full ownership of all quoted small works across a busy retail contract. This role is responsible for managing works from quotation receipt through approval, delivery, completion, and financial closeout, ensuring technical accuracy, value for money, and full governance at every stage.
This is a pivotal role interfacing with Regional Facilities Managers (RFMs), contractors, project managers, finance, QHSE teams, consultants, and clients, acting as the central point of control for quoted works.
Key responsibilities:
EndtoEnd Ownership

Take full cradletograve responsibility for all quoted works.

Oversee the lifecycle from contractor quotation through approval, delivery, completion, and closeout.

Ensure works are reviewed, monitored, tracked, implemented, and accurately reported.
Quotation Review & Vetting

Receive and formally vet all contractor quotations.

Review quotations with the relevant Regional Facilities Manager (RFM).

Ensure all quotations:

Are required, clearly scoped, and technically sound
-
Represent best value for money
-
Are transparent with no gaps
-
Issue clientready quotations that are fully vetted and fit for purpose.
Process Control & Continuous Improvement
-
Ensure all quoted works follow agreed internal processes and controls.
-
Review existing processes and align them for efficiency, clarity, and consistency.
-
Drive adoption of standardised workflows and governance.
Tracking, Monitoring & Reporting
-
Implement and maintain a robust tracking and monitoring system for all works.
-
Track key milestones including quotation status, approvals, assignment, delivery, and completion.

Maintain high data accuracy to support governance, reporting, and client confidence.
Delivery & Project Coordination
-
Ensure approved works are assigned to the appropriate Project Manager.

Monitor planning, scheduling, and implementation of works.
-
Maintain oversight of progress, resolving issues to protect time, cost, quality, and safety outcomes.
Financial Management & CloseOut
-
Work closely with Finance to monitor financial performance of quoted works.

Ensure contractor payments align with work completed and approved.

Confirm all postcompletion documentation is received and approved, including:

Asbuilt drawings
-
O&M manuals
-
Warranty information
-
Support accurate and timely invoicing to the client.
Change Control & Asset Handover

Manage change orders arising during or after delivery.

Capture and manage changes relating to future maintenance requirements or newly installed assets or systems.

Ensure full audit trails and documented approvals.
Site Attendance & Safety Oversight

Attend sites/stores where works are planned or underway.
-
Review and oversee RAMS (Risk Assessments & Method Statements).

Engage with QHSE teams, safety consultants, contractors, and project teams to ensure safe delivery.

Verify that works are carried out safely, compliantly, and in line with approved scopes
