We are now seeking an experienced Executive Assistant to join us on a part-time basis to support our CEO and Leadership Team. This is a high-trust, high-impact role designed to increase executive effectiveness while ensuring the workplace operates smoothly and professionally.
Working closely with the CEO, you will act as a trusted partner, combining discretion, operational discipline, and excellent communication to deliver effective support across the business.
While reporting to the Head of People & Culture, the role works in close partnership with the CEO and Leadership Team. This role will provide coordination support across the leadership team, however, the primary focus is supporting the CEO and enabling leadership effectiveness across the organisation.

Provide high-level administrative and strategic support to the CEO

Manage complex calendars, schedule coordination, and key communications

Prepare board packs, leadership presentations, executive reports, and other critical documents

Act as a trusted partner and gatekeeper to the CEO, helping prioritise time, information, and decision-making

Oversee preparation, follow-up, and action tracking for leadership and board meetings
-
Draft and coordinate internal communications on behalf of the CEO

Handle travel logistics, expenses, and other administrative workflows
-
Maintain organised filing systems for presentations, reports, and board materials
-
Coordinate Leadership Team agendas and supporting documentation
-
Implement clear action tracking and follow-through processes across leadership meetings
-
Improve meeting discipline, documentation, and follow-up standards
-
Support effective use of collaboration tools (Microsoft 365, Monday.com)

Oversee day-to-day office operations to ensure a safe, clean, and efficient workplace
-
Coordinate on-site gym facilities and other workplace amenities
-
Oversee procurement of office stationery, equipment, and home office supplies

Support internal events and leadership offsites

Assist with GPTW processes and engagement initiatives

Ensure the CEO’s calendar, meetings, and priorities run smoothly and efficiently

Improve preparation, documentation, and follow-through for leadership meetings

Bring structure and clarity to key communications, reports, and presentations

Reduce administrative workload across the leadership team

Contribute to a well-organised, professional, and positive workplace environment
To be a great fit for this role you will have:

3+ years supporting senior leadership or C-suite
-
Exceptional organisational and prioritisation skills

High emotional intelligence and discretion

Strong written communication and presentation capability

Comfortable operating independently and making informed decisions

Strong Microsoft 365 proficiency

Experience improving processes and bringing structure is highly desirable
