We are seeking a highly organised, proactive, and customer-focused Customer Service & Logistics Coordinator to join our flooring distribution team. This role is responsible for managing customer relationships, processing orders, coordinating deliveries from suppliers to customers, monitoring stock availability, and ensuring a seamless customer experience from order placement through to delivery.
The successful candidate will be a strong communicator who can anticipate potential issues, take ownership of customer requirements, and work closely with suppliers, warehouse personnel, and customers to ensure efficient and timely service.
Key Responsibilities
Customer Relationship Management
- Build and maintain strong relationships with customers through regular communication and exceptional service.
- Meet with customers as required to understand their flooring product requirements and provide support.
- Act as the primary point of contact for customer enquiries, orders, and service-related issues.
- Ensure customer expectations are managed and consistently exceeded.
Order Processing & Coordination
- Receive, process, and manage customer orders accurately and efficiently.
- Liaise with suppliers to confirm product availability, lead times, and delivery schedules.
- Monitor order progress from placement through to final delivery.
- Ensure all order information is accurately entered and maintained within company systems.
Delivery & Logistics Management
- Coordinate deliveries between suppliers, warehouse operations, and customers.
- Proactively track shipments and identify potential delays before they impact customers.
- Take ownership of delivery issues and implement solutions quickly and effectively.
- Keep customers informed of delivery schedules, changes, and any potential disruptions.
Stock & Warehouse Coordination
- Work closely with warehouse staff to monitor inventory levels and stock availability.
- Assist in managing stock replenishment requirements with suppliers.
- Ensure accurate communication between warehouse, suppliers, and customers regarding stock status.
- Help optimise stock management processes to improve service levels and reduce delays.
Problem Resolution
- Investigate and resolve customer complaints, delivery discrepancies, and product issues promptly.
- Escalate issues where necessary while maintaining clear communication with all stakeholders.
- Identify recurring issues and recommend process improvements to prevent future occurrences.
Continuous Improvement
- Anticipate challenges and take proactive measures to minimise disruptions.
- Develop strong working relationships with suppliers and logistics partners.
- Contribute ideas to improve customer service, operational efficiency, and supply chain performance.
- Maintain a high level of attention to detail and follow-through on all commitments.
Skills & Experience
Essential
- Previous experience in customer service, order management, logistics coordination, or a similar role.
- Excellent communication and relationship-building skills.
- Strong organisational and multitasking abilities.
- Ability to work effectively under pressure and manage competing priorities.
- Proactive problem-solving mindset with a strong sense of ownership.
- High attention to detail and accuracy.
- Strong computer skills, including Microsoft Office and order management systems.

- Experience within the flooring, construction materials, building products, or distribution industry.
- Knowledge of supply chain, inventory management, and logistics processes.
- Experience coordinating supplier and customer deliveries.
