OVERALL PURPOSE OF THE JOB
Office Administrator (Construction Industry) is ideal for someone who enjoys being part of a collaborative team, working alongside two experienced administrators, sharing responsibilities, and supporting each other across the business. This position will report to the Contract Managers.
KEY RESPONSIBILITIES
- General office duties including but not limited to, filing, typing, post inwards and outwards, dealing with queries from suppliers, customers and staff.
- Accurate data entry and maintenance of project records using Microsoft Excel.
- Support to the Contract Management team in submitting customer account documentation, ordering materials for projects and keeping record of everything ordered / hired, on hire and off hire dates etc.
- Some payroll duties with regard to inputting weekly hardcopy timesheets to Excel and general queries from employees.
- Administration support to our Health and Safety department
- Maintain and process all branch records to a high standard.
- Ad hoc administrative duties as required by the business.
Additionally, when required
- Deal closely with our Accounts Payable department in relation to supplier accounts, to ensure all invoices are matched with delivery and PO dockets and approved for payment in a timely manner.
- Ensure all records with regard to purchases, sales and accruals are kept up to date at all times.
- Assist with the control of ISO 9001, ISO 14001 & Safe-T-Cert documents.
KNOWLEDGE & EXPERIENCE REQUIREMENTS
- Previous Office Administration Experience
- Experience working within the construction, engineering or trades sector is highly desirable
- Comfortable working in a busy office environment
- Strong IT skills, in particular MS Word & Excel
- Experience with Open Accounts or a similar accounts package an advantage
- Excellent time management and attention to detail essential
- Good interpersonal and organisational skills essential
The JS McCarthy Cork office is based in Curraghconway, South Douglas, Cork and is not serviced by public transport.
The role has potential to be made permanent after 6-month fixed term contract.
Pay: €32,000.00-€38,000.00 per year
