The role of the Reservation Manager at Ballynahinch Castle Hotel is to ensure that all our guests receive a warm welcome and the reservation department's quality standards are delivered at all times at the highest level of service ensuring the guests are looked after with care and attention at all times.
Responsibilities

To ensure the smooth running of the Reservation Department, ensuring the highest levels of guest service and guest satisfaction.

To ensure monthly budgeted room occupancy and ARR are met.

Actively managing the daily telephone enquiries and email inbox, ensuring all reservations are correctly recorded and confirmed in an efficient and courteous manner.

Daily management of PMS and website inventory, sell rules and restrictions.

Daily communication and liaising with the Activities team and the F&B team in relation to guest activity bookings and restaurant bookings.

Communicating with all departments in the hotel in relation to guest allergies or any other special requests or key information as part of the weekly overview report.
- Conduct necessary reservations checks and ensure all third-party reservations are updated.

Ensure the team is responding timely to all guests and third-party requests and messaging.

Oversee all group and self-catering bookings from enquiry to arrival including management of all necessary deposits.

Assist with wedding inquires when the Weddings & Events Manager is absent.
- Liaise with Tour operators on tour series production sales stats and update the inventory accordingly

Complete test call training with reservations and front office teams and ensuring hotel test calls standards are maintained and monitor test scores and report on targets.

To oversee the continual development of the Department tasks, by providing training, support, coaching and guidance to new and existing staff, in accordance with the Hotels standards and requirements.
The ideal candidate will have:

A minimum of 2 years' experience in a management role within a Reservations or Front Office Hotel Department.

Proven ability to lead and develop a team to achieve high performance standards.

Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.

Strong communication and interpersonal skills, with a team-oriented mindset.
