Philip Lee LLP is a prestigious full-service law firm headquartered in Dublin. We are now recruiting a Legal Secretary to join our Projects and Construction team. Key Responsibilities
- Provide comprehensive legal administrative support to the team.
- Manage the end-to-end file lifecycle using the firm’s legal case management system.
- File management – importing guidelines, accessing documents, sending demand letters, and making sure files remain updated.
- Prepare materials and information for internal and external meetings.
- Client billing – coordinating the team’s monthly billing process, ensuring invoices are issued on time and accurately.
- Diary management – making sure schedules are organised correctly and there are no conflicts with diaries.
- Liaise with internal and external stakeholders to understand and respond to their requirements.
- Maintain discretion and confidentiality when handling sensitive information.
- Ensure accuracy and speed in document production, coordinating with document specialists when required.
- Manage travel arrangements and detailed itineraries.
- Process time records and expense reports; and
- Greet and liaise with clients and business visitors in a professional manner.
Candidate Profile
- 3–5+ years’ experience as a Legal Secretary, ideally within a projects and construction environment.
- Experience managing a portfolio of senior stakeholders within the legal field.
- Experience using iManage or another case management system.
- Experience using a billing platform (KeyHouse or other).
- Meticulous attention to detail.
- Ability to work in the strictest level of confidentiality.
- Superb communication skills in both verbal and written format.
- Time management skills that allow you to coordinate multiple competing tasks.
- A positive, can-do approach to work, even in challenging situations.
