About The Role:
The Workforce Management Specialist is responsible for ensuring Redfaire has the right consultants, with the right skills, assigned to the right projects at the right time. Working closely with Delivery, Sales, HR and Practice Leads, you'll optimise consultant utilisation, support workforce planning, coordinate recruitment and contractor engagement, and provide the operational insight needed to support business growth and exceptional customer delivery. This role is central to maximising utilisation, improving forecasting and ensuring successful project delivery
This is a full-time, permanent role which may operate in a hybrid working arrangement based part-time from our Limerick city headquarters.
Responsibilities:
Key accountabilities of this role will include (but are not limited to):
Resource Planning & Scheduling:
- Own consultant scheduling and resource allocation across customer projects.
- Match project requirements with consultant skills, availability and business priorities.
- Ownership of the consultant skills matrix, ensuring it reflects current capabilities, certifications, product knowledge and industry experience.
- Manage bench utilisation and coordinate consultant availability, leave and project transitions.
Recruitment & Resource Development
- Support recruitment by identifying resource requirements and assisting HR throughout the hiring process.
- Coordinate contractor engagement, onboarding and purchase orders.
- Ownership of the consultant skills matrix, ensuring it reflects current capabilities, certifications, product knowledge and industry experience and other compliance activities.
Professional Services Operations:
- Maintain accurate project, consultant and scheduling data within resource management systems.
- Coordinate project mobilisation activities including onboarding, travel and consultant readiness.
- Ensure consultant CVs, skills profiles and certifications remain current.
- Support and manage efficient time recording and utilisation.
Reporting & Business Support
- Produce regular utilisation, capacity and forecasting reports.
- Analyse trends, identify scheduling conflicts or data anomalies and highlight risks to management.
- Support operational forecasting and continuous improvement initiatives.
Stakeholder Collaboration & Continuous Improvement
- Work closely with Practice leads, Resource and Project managers, HR & Sales to optimise resource deployment
- Support initiatives to enhance forecasting utilisation, and reporting accuracy.
- Contribute to standardisation of resourcing & reporting workflows and other CIP initiatives across the organisation.
Qualifications & Previous Experience:
- Bachelor’s degree in business, Management, Project Management or related discipline preferred.
- 2–4 years’ experience in in workforce planning, scheduling, resource management or project coordination.
- Experience within Professional Services, IT Consulting or Software Delivery is highly desirable.
- Highly organised, resilient, and able to manage multiple priorities in a fast-paced environment.
- Experience with scheduling or project management tools such as Jira, HubSpot, Jira, MS Project or similar.
- Advanced Excel skills essential; experience with data analysis tools and software (e.g., SQL, Tableau, Power BI) desirable.
- Demonstrated capability of data reporting tools and ways of working – “Slicing and dicing of information”. Prior experience of data analysis and data anomaly detection is required.
- An understanding of ISO or equivalent compliance standards is desirable but not essential.
- Excellent communication and stakeholder management skills, with the ability to engage effectively with senior leaders and geographically dispersed teams.
