Job Description:
To provide comprehensive support to the supervising pharmacist in dispensing, dispensary management, blister pack scheduling, flu vaccination campaign coordination, end-of-month claims processing, stock control, and customer care, ensuring compliance with PSI regulations and delivering excellent patient service.
Key Responsibilities:
1. Dispensing & Accuracy
- Accurately prepare, dispense, and label prescriptions in compliance with PSI regulations and pharmacy SOPs.
- Ensure prescription accuracy, including correct dosage and patient details.
2. Dispensary Management
- Maintain an organised, clean, and efficient dispensary environment.
- Manage workflow to minimise prescription turnaround time.
3. Blister Pack Management & Scheduling
- Coordinate weekly/monthly blister pack preparation and delivery with 100% accuracy.
- Maintain accurate records of medication changes and communicate updates to patients and caregivers.
4. Flu Vaccination Campaign Management
- Schedule and confirm flu vaccination appointments efficiently.
- Update PharmaVax accurately with vaccination records within 24 hours of administration.
- Assist in vaccine stock control and campaign promotion.
5. End-of-Month (EoM) & Claims Management
- Daily Prescription Verification: Verify all prescriptions for completeness and compliance daily to avoid end-of-month discrepancies.
- EoM Claim Preparation: Prepare the full electronic claim (e-Claim) for end-of-month submission to the HSE.
- Re-Claim Management: Identify rejected claims, correct errors, and resubmit promptly.
- Payment Reconciliation: Match HSE payment reports against submitted claims to ensure accuracy and resolve discrepancies.
- Maintain full compliance with PCRS and HSE guidelines.
6. Stock Management
- Monitor stock levels, check expiry dates, and manage orders to avoid shortages.
- Ensure Date Checking schedule is in place and maintained.
- Process and check deliveries accurately.
7. Customer Service & OTC Support
- Deliver excellent customer service and provide OTC advice under pharmacist supervision.
- Handle patient queries professionally and maintain confidentiality.
8. Compliance & Administrative Duties
- Ensure full adherence to PSI Code of Conduct and GDPR regulations.
- Support the pharmacist in health promotion campaigns and SOP implementation.
Qualifications & Experience:
Essential:
- Pharmacy Technician qualification (IPU-accredited or equivalent).
- Strong understanding of PSI regulations, PCRS claims processes, and pharmacy operations.
Desirable:
- Experience in community pharmacy with blister packing, flu vaccination scheduling, and claims management.
- Familiarity with PharmaVax and pharmacy systems (MPS)
Skills & Competencies:
- Excellent attention to detail and organizational skills.
- Ability to manage multiple tasks, including EoM claim preparation and scheduling.
- Strong IT skills for claims systems, PharmaVax updates, and stock control.
- Ability to work under pressure and meet deadlines (especially during end-of-month claim periods).
- Effective communication and teamwork.
Regulatory Requirements:
- Adhere to PSI guidelines and pharmacy legislation.
- Maintain GDPR and confidentiality compliance.
Performance Indicators (Qualitative):
- Demonstrates efficiency in managing dispensary workflow, blister packs, and vaccination campaigns.
- Proactively ensures claims accuracy and timely submission to avoid payment delays.
- Maintains strong communication with patients, caregivers, and healthcare professionals.
- Supports the pharmacist in driving operational improvements and customer engagement.
