Job Purpose:
The Hostel Receptionist is responsible for managing the front desk operations, ensuring a smooth and efficient check-in/check-out process, providing exceptional customer service to guests, and supporting daily operational tasks within the hostel. The role involves greeting guests, managing bookings, responding to inquiries, and maintaining the security and cleanliness of public areas.
Key Responsibilities:
- Guest Reception & Check-in/Check-out:
- Greet all guests warmly upon arrival and complete the check-in process efficiently.
- Provide guests with relevant information regarding hostel facilities, policies, and the local area.
- Manage guest check-out, process payments, and ensure all charges are correct.
- Handle cash and card transactions accurately, following company procedures for financial transactions.
- Reservations & Booking Management:
- Take reservations over the phone, via email, or through booking platforms, ensuring all details are accurate.
- Maintain accurate records of guest bookings and ensure availability is updated regularly.
- Handle cancellations, no-shows, and modifications to bookings according to hostel policy.
- Customer Service:
- Address guest inquiries, requests, and complaints promptly and professionally.
- Provide assistance to guests with any special needs, such as directions, tour information, or room adjustments.
- Ensure a positive guest experience by maintaining a friendly and approachable attitude.
- Administrative & Front Desk Support:
- Maintain an organized and tidy front desk area.
- Monitor and manage the hostel's phone and email communications.
- Ensure all hostel policies and procedures are communicated to guests and adhered to.
- Report maintenance or housekeeping issues to the appropriate team members.
- Security & Safety:
- Maintain a secure environment for guests by adhering to check-in and check-out protocols.
- Manage the distribution and collection of room keys.
- Monitor surveillance equipment and ensure safety protocols are followed.
- Report and record all incidents.
- General Operational Support:
- Assist in maintaining common areas, ensuring they are clean, safe, and welcoming.
- Help with general administrative duties as required by the Hostel Manager or Assistant Manager.
- Support the team with any special events, promotions, or activities organized by the hostel.
Key Skills & Qualifications:
- Proven experience in a customer-facing role, preferably in a hospitality or hostel setting.
- Strong communication and interpersonal skills, with the ability to interact effectively with guests from diverse backgrounds.
- Excellent organizational skills and attention to detail.
- Ability to handle multiple tasks simultaneously in a busy environment.
- Experience in PMS systems would be a advantage
- Fluency in English; additional language skills are an asset.
- Flexibility to work various shifts, including evenings, weekends, and holidays as required.
**Please note this is a Part-Time Role 16 - 39hrs per week ****
