JOB TITLE: CRM & Customer Support Coordinator

The Role:
The Support Role will provide dedicated administrative and coordination support to the CRM/CX Manager and Estimation Team. This position will act as the first point of contact for incoming enquiries, maintaining the CRM system to a high standard, and support Hevac in delivering a consistent, professional and customer‑focused service.
The Person:
In your role, you will be an organised, proactive, and adaptable individual who is committed to supporting a high-performing Business. You will play a key role in managing enquiries, maintaining accurate data, and ensuring smooth communication between customers, suppliers, consulting engineers, and the external sales team. You will bring a positive, can‑do attitude, strong attention to detail, and excellent interpersonal and communication skills.
Key Responsibilities:
- Uphold the company values at all times.
- Represent the company in a courteous and professional manner.
- Monitor, filter and categorise enquiries from a shared mailbox
- Input, update, and maintain all customer, project, and enquiry information in our CRM system.
- Ensure CRM data is accurate, complete, and consistently structured, creating a reliable source of information for the CRM/CX Manager and Estimation Team.
- Ensure required documentation and notes are logged promptly.
- Develop relationships with internal and external stakeholders, whilst managing their requirements
- Undertake any other duties and responsibilities as may be reasonably required by the Manager in line with the needs of the business.
Requirements:
- Min 1 year customer focused experience
- Exceptional customer focused attitude
- HVAC industry knowledge is desirable but not essential.
- Strong organisational skills with the ability to prioritise and manage high volumes of stakeholder interaction
- Excellent written communication skills and a professional customer‑service approach.
- High attention to detail and accuracy, particularly with data entry.
- Proficient in Microsoft Outlook, Excel, and Word.
- Ability to work in a fast‑paced environment and manage competing priorities.
- Proactive attitude with a willingness to take ownership of tasks.
Desirable
- Experience in an Engineering, Construction, or technical environment.
- Previous responsibility for CRM data management or customer service coordination.
