Mapon Ireland is the newest branch in the Mapon group, with a growing local team of three colleagues. As a small and developing office, it offers the opportunity to contribute directly to how the branch grows, operates, and builds its local presence. At the same time, the Irish team benefits from the experience, resources, and established ways of working of Mapon's international organisation and HQ.
The Operations Specialist plays a key role in supporting the daily financial, administrative, and operational activities of Mapon Ireland. The role ensures efficient coordination between the Irish branch, local partners, and Mapon HQ, maintaining accuracy and consistency across all business systems and workflows.
This position combines hands-on financial administration, warehouse coordination, and system support.
The ideal candidate is structured, reliable, and tech-savvy, with strong organisational skills, attention to detail, and the ability to work collaboratively across departments, including finance, sales, warehouse, HR, and support.
Financial & Administrative Tasks (40% focus)
- Primarily handle Moneo, stock and contract storage according to Mapon Practices.

Oversee debt recovery processes in collaboration with an outsourced collection agency, maintaining clear communication with the sales team and management.

Coordinate with HQ finance to ensure accurate payment processing and reconciliation.

Maintain financial records and archives, ensuring compliance with Irish accounting requirements.

Support monthly and yearly closing procedures, VAT reporting, and financial reporting to HQ.

Assist with payroll inputs, vouchers, receipts, and related accounting documentation.

Maintain confidentiality of all financial, employee, and supplier information.

Monitor shared branch email inboxes, managing purchase documentation and correspondence with vendors and clients.

Participate in meetings related to new product or solution development, ensuring local financial alignment.
Warehouse & Operations & Technicians (30-35% focus)
- Manage and coordinate warehouse operations, including order fulfilment, shipments, and deliveries to clients.

Conduct and report regular stock checks, ensuring alignment with HQ and system records.

Maintain daily accounting and documentation of inventory-related processes in Moneo Warehouse Management.

Collaborate with sales and management on inventory control and stock decisions.

Identify and implement improvements to warehouse and operational processes.

Support the roll-out and daily use of new business systems (Dynamics 365 ERP, Moneo), ensuring staff training and process consistency.

Managing Client Installations: Technician Planning and Responsibilities
Client & Internal Support (20% focus)
- Provide backup and coordination support for the client service team.

Respond to client inquiries in English, maintaining professionalism and clear communication.

Collaborate across teams — sales, warehouse, support, and HQ — to ensure timely and effective issue resolution.

Maintain and update client data and documentation within Mapon CRM and related systems.

Assist the local sales team with subscription and invoicing tasks.

Track and document customer cases or escalations, ensuring resolution and follow-up.

Support system-related training and onboarding for team members following updates or process changes.
Human Resources & Office Administration (5-10% focus)
- Ensure payroll data and employee information are accurate and aligned with Irish accounting records.

Coordinate local travel arrangements and logistics for team members attending HQ meetings or events.

Keep branch-level policies, documentation, and internal procedures up to date.

Support local compliance and communication between management and employees.
