Overview of the Role
The Warranty Administrator is responsible for the efficient processing, tracking and resolution of warranty claims, ensuring full compliance with manufacturer guidelines and internal policies.
The role acts as a key liaison between service teams, customers and manufacturers, supporting the after sales function and protecting revenue through accurate claims and reimbursement management.
Duties and Responsibilities
The duties and responsibilities of the position include, but are not restricted to the following:
- Warranty Claims
- Process all warranty claims end to end in line with manufacturer's requirements
- Validate claims for accuracy, completeness and eligibility prior to submission
- Monitor claim progress, ensuring timely resolution and reimbursement
- Compliance
- Ensure all claims comply with:
- Manufacturer warranty policies
- Internal processes and procedures
- Maintain accurate documentation to support audit readiness
- Reporting
- Track claims submitted vs payments received and reconcile discrepancies
- Produce regular reports / KPIs on warranty performance
- Investigate and submit rejected claims where required
- Coordination and Communication
- Liaise with:
- Service Advisors and Technicians
- Manufacturer representatives
- Customers (as required)
- Communication claim updates and ensure high levels of customer satisfaction
- Parts and Returns
- Return of warranty parts in line with manufacturer requirements
- Maintain records of parts and ensure compliance with retention policies
- Audit & Process Improvement
- Support internal and external warranty audits
- Review warranty bulletins and implement process updates
- Identify trends and support continuous improvement initiatives
Qualifications and Experience
Requirements:
- 1-3 years of experience in an administrative or similar position
- Strong attention to detail and accuracy
- Excellent organisational and time management skills
- Strong IT skills (MS Office)
- Ability to work in a fast-paced process driven environment
- Detail oriented and analytical
- Strong communication skills
- Problem-solving mindset
- Ability to work collaboratively across teams
- Customer focused approach
Desirable:
- Previous experience as a Warranty Administrator or in the motor industry / after sales
- Knowledge of dealer management systems (e.g. Kerridge)
- Basic understanding of automotive systems and repairs
- Experience with claims, compliance or regulated processes
Role Detail:
- This is a permanent and full time, onsite role
