We are looking for an organised and proactive HGV Administrator to join our Fleet team. This role combines fleet administration responsibilities with customer and driver support, making it ideal for someone with strong vehicle or mechanical knowledge who enjoys problem-solving and delivering excellent service.
A key aspect of this role is providing support to customers and drivers over the phone when they experience vehicle-related issues. Using your mechanical understanding and knowledge of vehicle operations, you will help identify potential faults, provide guidance where appropriate, and ensure issues are directed to the correct support channels.

Reporting To: Fleet Manager
Full training will be provided on company systems, processes, and administrative tasks.
Requirements
- Previous experience in a mechanical, automotive, fleet, transport, workshop, or HGV environment.
- Good understanding of vehicle maintenance, inspections, defects, repairs, and vehicle operations.
- Ability to provide practical guidance and support to customers and drivers regarding vehicle-related issues.
- Strong communication and customer service skills.
- Excellent organisational and administrative abilities.
- Ability to work independently and manage multiple priorities.
- Comfortable using computer systems and administrative software.
- Category C HGV Licence is desirable but not essential.
Key Responsibilities
- Provide telephone support to customers and drivers experiencing vehicle-related issues.
- Use mechanical knowledge to assist in identifying vehicle faults and provide appropriate guidance.
- Escalate technical issues to workshops, suppliers, or specialist teams when required.
- Maintain accurate fleet records, documentation, and compliance information.
- Schedule vehicle servicing, maintenance, inspections, and repairs.
- Monitor vehicle defects and ensure corrective actions are completed in a timely manner.
- Liaise with drivers, workshops, suppliers, and internal stakeholders.
- Support the day-to-day administration of the fleet operation.
- Ensure all fleet activities comply with relevant operational and maintenance requirements.
The ideal candidate will have a strong mechanical understanding of vehicles, be comfortable speaking with customers and drivers over the phone, and possess the organisational skills required to manage fleet administration activities effectively.
