Job Title: Clerical Officer Grade III (RIAM Junior School)
Reporting to: Junior RIAM Office Manager
Role type: temporary maternity leave cover contract based on 35 hours net per week (approx. 4 months)
Annual leave: 29 Days annual leave per annum (pro-rated)
Salary Scale: Based on point 1 of the Grade III (Clerical Officer) Pay Scale which is €31,935 per annum
ROLE DESCRIPTION:
The Clerical Officer (Grade III) provides essential administrative support across the RIAM Junior school student lifecycle from auditions, admissions, assessments and class scheduling.
ROLE RESPONSIBILITIES:
Ø Administrative support in the Junior RIAM office relating to all aspects of the Junior RIAM department.
Ø Administration of Early Years programmes – managing applications, liaising with academic staff and parents/guarantors, class allocations, room bookings and communications.
Ø Assisting with administrative tasks in relation to Junior RIAM Competitions and the Young Artists Programme.
Ø Assisting with administrative duties in relation to auditions and assessments. This may include room bookings, liaising with external examiners, collating and processing results.
Ø Assisting with administrative tasks in relation to junior musicianship (music theory), including managing class lists and scheduling, assigning students to Moodle (RIAM’s virtual learning environment), promotions and transfers, online and in-person assessments.
Ø Assistance with invoicing, data collection and financial activity relating to Junior RIAM programmes.
Ø Administrative duties related to junior chamber music, musicianship modules and other project-based activities.
Ø Assistance with the organisation of Junior RIAM Open Days and other public facing activities.
Ø Monitoring communications and responding to enquiries by telephone and email.
Ø Monitoring and updating Junior RIAM web content as necessary.
Ø General administrative tasks including data entry, printing, photocopying and record management.
Ø Any other duties as deemed necessary and appropriate to the level of the grade and position.
Skills & Experience
Ø Minimum of 2 years administrative experience.
Ø Administrative experience in an education environment desirable, but not essential.
Ø Must act in a professional manner and be able to work well as part of a team.
Ø Takes responsibility for work and see through to the appropriate next level.
Ø Must be proactive and have ability to work on own initiative.
Ø Excellent communication and interpersonal skills.
Ø Must be flexible and capable of taking on new tasks.
Ø Strong organisational skills together with the ability to prioritise work and meet deadlines.
Ø Strong IT skills including a good working knowledge of MS Office 365 and Teams/Zoom.
