Our business manages global sourcing, inventory, logistics, warehousing, Amazon marketplaces, Shopify webstores and wholesale distribution.
We are seeking a highly organised and detail-oriented Operations Coordinator to support the day-to-day administration of our Operations, Supply Chain and Inventory functions.
The Role
The Operations Coordinator plays a key support role within the Operations team, ensuring accurate administration of purchasing, inventory, supplier records, product data and shipment tracking activities.
This position is ideal for someone who enjoys organisation, problem-solving, working with data and coordinating multiple activities across suppliers, warehouses and internal teams. You will report to experienced Operations Manager.
Key Responsibilities
Purchasing & Supplier Administration
- Raise and maintain purchase orders.
- Coordinate supplier documentation and order confirmations.
- Maintain supplier records and operational databases.
Inventory Administration
- Maintain inventory records and stock adjustments within ERP systems.
- Support inventory reconciliation and stock accuracy initiatives.
- Assist with cycle counts and inventory reporting.
Shipment & Logistics Coordination
- Track inbound shipments and supplier deliveries.
- Monitor shipment schedules and communicate updates to stakeholders.
- Maintain shipment tracking records and documentation.
Product & Master Data Management
- Create and maintain product records, SKUs and supplier information.
- Ensure ERP master data remains accurate and up to date.
- Support new product setup activities in ERP.
Reporting & Documentation
- Produce inventory, purchasing and logistics reports.
- Maintain operational documentation and filing systems.
- Support KPI reporting and operational performance tracking.
Project & Administrative Support
- Coordinate meetings and maintain action logs.
- Support operational improvement projects.
- Assist the Operations Manager with administrative and reporting activities.
Requirements
Essential
- Previous administrative or coordinator experience.
- Strong organisational and time management skills.
- Good Excel skills.
- High attention to detail and accuracy.
- Strong communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong digital literacy and confidence using modern workplace technologies.
- Comfortable using AI-powered and productivity tools to improve efficiency, automate routine tasks and reduce manual administration.
- Quick to learn new systems, applications and software with minimal supervision.
- Proactive in identifying smarter and more efficient ways of completing work while maintaining accuracy and compliance.
Desirable
- Experience in logistics, purchasing or inventory administration.
- ERP system experience.
- E-commerce, retail or distribution experience.
- Business, Supply Chain or Logistics qualification.
- Experience using AI-assisted workplace tools (such as Microsoft Copilot, ChatGPT, Google Gemini, AI-powered Excel features, workflow automation tools and similar productivity applications)

Pay: €30,000.00-€35,000.00 per year
