Barberstown Castle Hotel currently seeking an experienced Assistant Reception & Reservations Manager to support the Front Office leadership team in the day-to-day operation of Reception and Reservations.
The position is full time, 37.5 hours per week and requires the flexibility of 5 days over 7.
Responsibilities
- Support the Department Manager in the daily operation of Reception and Reservations.
- Ensure smooth, efficient Reception and Reservation operations and consistency in the highest of hotel guest service standards.
- Deliver a professional, warm and welcoming guest experience at all times.
- Oversee accurate and efficient Reservation and check-in and check-out procedures.
- Monitor room allocations and ensure all guest requests are handled effectively.
- Maintain accurate guest profiles and system records using the hotel PMS (Guestline experience or similar is required)
- Liaise closely with all hotel departments to ensure seamless guest service delivery
- Support the Department Manager to supervise, motivate and support the Reception team
- Assist with training, onboarding and departmental inductions
- Ensure adherence to SOPs, hotel standards and operational procedures
- Support the HR Department and Department Manager with performance reviews, appraisals and development plans where required.
- Handle guest queries, feedback and complaints professionally and efficiently
- Monitor service quality and implement improvements where required
- Ensure hotel standards, presentation and grooming policies are consistently maintained
- Support Reception team upselling initiatives and revenue generation by ensuring team awareness of hotel promotions and offers
- Assist with shift briefings, departmental meetings and internal communication
- Ensure compliance with all health, safety and fire procedures
- Report and document accidents or incidents appropriately
· To coordinate reservations for the hotel including answering phones and emails
· Appropriate and effective management of Reservations mail box forwarding emails where required, flagging and ticking emails as per training, prioritising in order of importance, ensuring emails are responded to without delay.
· With the Department Manager, review rate reports to ensure the hotel is competitively positioned.
· To assist in managing & controlling any internal Reception or Reservations systems to ensure optimum set up.
· To participate in and contribute to the hotels regular Revenue Meeting and ensure all relevant reports are timely and accurate in the absence of the Department Manager.
· To encourage the development of relationships with new and existing clients (including third parties), working in conjunction with the Department to drive increased business from each relevant channel for the hotel
· To be flexible and have the ability to work on own initiative and take a genuine interest in business development.
· To ensure that all reservations are entered correctly versus market segmentation and that all such reports are accurate.
· To assist in devising packages and upload same on-line to our website and on to 3rd party sites as required.
· To upload rates and packages onto relevant Channels as required.
· To manage room blocks for groups and particularly to support the Weddings and Sales Teams in the management of their room blocks, liaising directly with Wedding couples or designated leads as required.
· Have oversight of all Group Reservations and make sure that rooming lists are being inputted properly and upselling occurs
· To manage the reservations check process for all future reservations,
· To respond to management requests in a timely manner.
· To work with the Department Manager to ensure SOPs are in place, reviewed, and signed off, whilst also ensuring that all SOP’s and internal procedures are followed.
· To establish and maintain good working relations with all employees within the department.
- To cover the Department Manager in their absence where required
- Any other duties as may be assigned
Requirements:
· Minimum of 5 years experience in a Senior or Supervisory role within Hotel Reservations / Reception.
· Highly proficient in communication, organisation and time management.
· The ability to lead a team.
