The Role
Working closely with the Managing Director, Operations Manager, Transport Planner, and Workshop Team, you will provide operational support across the transport function while helping drive efficiencies through technology, reporting, and process improvement.
Your responsibilities will include:
Transport Administration & Operations
- Assisting the Transport Planner with creating and managing daily transport jobs
- Updating and maintaining jobs within our Transport Management System (TMS)
- Sending work instructions and updates to drivers
- Managing transport paperwork and operational documentation
- Processing, scanning, filing, and issuing Proofs of Delivery (PODs)
- Maintaining accurate operational records and ensuring documentation remains up to date
- Supporting day-to-day transport office activities
Fleet & Compliance
- Assisting with vehicle maintenance scheduling and administration
- Monitoring tachograph compliance and supporting driver compliance sign-off procedures
- Maintaining fleet records and compliance documentation
- Supporting the management of vehicle camera and telematics systems
Driver Performance & Reporting
- Monitoring telematics data and producing driver performance reports
- Tracking idling times, fuel efficiency, utilisation, and operational KPIs
- Assisting with driver coaching initiatives using telematics and performance data
- Identifying trends and opportunities to improve operational efficiency and profitability
Continuous Improvement
- Identifying opportunities to improve systems, processes, and workflows
- Supporting the implementation of new technologies and digital tools
- Working with management to improve margins, increase efficiency, and reduce waste
- Helping develop data-driven reporting that supports better decision-making across the business
Desired Experience
- Previous experience in transport, logistics, fleet administration, or a similar operational role
- Familiarity with Transport Management Systems (TMS)
- Understanding of transport office procedures and industry documentation
- Experience with telematics, fleet tracking, or compliance systems would be advantageous
- Strong IT skills and confidence working with software platforms
- Excellent organisational and communication skills
