Administrative Assistant
Job Summary:
We are seeking an organised, detail-oriented Administrative Assistant to support our charity clients with efficient and effective grant administration.
The successful candidate will play a key role in managing data for grant applications, maintaining comprehensive and consistent charity files, researching new grant opportunities, and ensuring all documentation is complete and up-to-date.
This role requires a proactive approach and an ability to work collaboratively with Directors and grant writers to maximise funding opportunities for our charity clients.
Key Responsibilities:
- Grant Application Data Entry
- Accurately input relevant charity data into grant application forms, ensuring that all information is correct, complete, and formatted to meet application requirements.
- Maintain standardised templates for client data entry to streamline application processes.
- Supporting Documentation Management
- Gather and organise supporting documentation required for individual grant applications, including financial reports, impact assessments, and other necessary materials.
- Proactively follow up on missing documents and ensure that files are updated as needed.
- File Maintenance and Consistency
- Keep charity client files consistent, comprehensive, and up-to-date across all documentation platforms.
- Regularly review and organise charity data to ensure it remains current, accessible, and aligned with grant requirements.
- Research and Collation of Grant Opportunities
- Conduct research to identify new grant opportunities for charity clients based on their specific goals, focus areas, and funding needs.
- Compile a database of relevant grants, deadlines, and application guidelines for easy reference.
- Grant Qualification and Assignment
- Collaborate with Directors to assess and qualify grants for suitability, assigning relevant opportunities to specific projects and grant writers.
- Track the progress of grant applications and maintain clear communication with Directors and grant writers.
- Project Information Management
- Ensure that all projects identified by charity clients have the appropriate information and documentation on file.
- Highlight any gaps in project data and work to obtain missing information for submission readiness.
- Ad Hoc Tasks
- Provide general administrative support to the Directors and team as needed.
- Take on additional tasks related to grant administration and charity support, as required.
Qualifications and Skills:
- Experience in administration, ideally within the charity or non-profit sector, is preferred.
- Strong organisational skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work independently and manage multiple priorities effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software or databases.
- Familiarity with grant application processes or willingness to learn about grant administration.
