The Role
VEEP Energy is looking for an experienced and confident HR Coordinator to take ownership of the day-to-day administration and coordination of our HR function.
We are a small, close-knit team. Our core employment contracts, policies and HR documentation are already established; however, we are looking for someone who can bring greater structure to the function, implement practical processes and ensure HR records, compliance requirements and agreed actions are managed consistently and followed through.
This is a newly established, hands-on position requiring a high level of independence, confidence and responsibility. You will work closely with management and the wider team. Employment decisions and non-routine HR actions remain subject to management approval, but you should have sufficient practical HR and employment-law knowledge to prepare appropriate documentation, follow the correct process and identify matters that require management attention or external professional advice.
Key Responsibilities
HR Administration, Processes & Employee Relations
· Maintain accurate employee files, contracts and HR documentation.
· Implement practical HR administrative processes within the company's existing HR framework.
· Prepare new employee contracts and onboarding documentation using established company templates.
· Manage probation tracking, annual leave, absence and other key employment records.
· Support management with performance, grievance, misconduct and other employee relations matters.
· Prepare probation, disciplinary, warning and other formal HR correspondence as instructed by management.
· Ensure agreed HR actions are properly documented, issued, recorded and followed through.
· Maintain appropriate records relating to workplace incidents from an HR/WRC perspective.
· Keep existing HR documentation and processes under review and flag where legislative changes or professional advice may require an update.
· Maintain strict confidentiality regarding all employee and company matters.
Employee Certification & Compliance
· Maintain records of employee qualifications, licences, training and certificates.
· Check that required employee certificates and qualifications are valid and within their expiry dates.
· Monitor expiry and renewal dates and remind employees and management in advance where renewals or further training are required.
· Maintain clear and up-to-date compliance records.
Recruitment & Onboarding
· Prepare and manage recruitment advertisements.
· Screen applications and shortlist suitable candidates.
· Coordinate interviews and reference checks.
· Prepare new starter documentation and coordinate onboarding.
· Ensure required employee documentation, qualifications and certificates are obtained and recorded.
Company Vehicle Administration
· Maintain administration records for the company's small fleet.
· Maintain copies of relevant employee driving licences and driver records.
· Monitor motor tax and insurance expiry dates.
· Maintain vehicle service and maintenance schedules and monitor when servicing is due.
· Record vehicle incidents and accidents and maintain associated documentation.
· Follow up on upcoming renewals, servicing and required actions.
Management Support & Reporting
· Report to and liaise closely with management on HR, recruitment, staffing and compliance matters.
· Monitor key dates, outstanding actions and compliance requirements.
· Highlight HR or compliance matters requiring management attention.
· Provide clear, practical information to management to support employment-related decisions.
· Communicate effectively with employees and work collaboratively as part of the wider team.
As part of a small and growing business, reasonable ad hoc administrative or people-related duties may also be required from time to time where business needs require it.
About You
We are looking for someone with practical HR experience who is confident, dependable and comfortable taking full responsibility for their own work while understanding that employment decisions remain with management.
· Previous practical experience in an HR role.
· Good working knowledge of Irish employment law and WRC requirements.
· Experience supporting employee relations matters and preparing professional HR correspondence.
· Excellent written and verbal communication skills.
· Strong attention to detail, organisation and record keeping.
· Confidence dealing professionally with difficult, sensitive or confidential situations.
· Ability to work independently, use sound judgement and follow matters through to completion.
· Ability to introduce structure and practical processes rather than simply administer individual tasks.
· Ability to identify when something requires management attention or professional advice.
· Ability to communicate effectively with management and work well as part of a team.
· A practical, dependable and solution-focused approach.
Experience within construction, engineering, electrical, renewable energy or another trades-based SME would be an advantage, but is not essential.
Potential Full-Time Development
The position is currently being recruited as a part-time HR Coordinator role. For a suitable candidate who is interested in a broader position, there may also be an option to expand the role to full-time by taking on additional responsibilities in Health & Safety coordination, First Aid and PSCS support.
Previous experience in these additional areas is not required for the HR position. Where appropriate, relevant training and courses can be provided by the company.
