Key responsibilities:
Admissions Team
- Assist in administrative duties including filing, answering phone calls, responding to
- emails and preparing documents.
- Logging all enquiries on an internal database
- Providing initial correspondence to parents including creche details, availability and appropriate pricing
- Liaising with parents prior to enrolment and finalising required paperwork
- Processing and inputting new application forms
- Arranging suitable viewing appointments for all creche locations
Finance Team:
- Processing child registrations through accounting systems
- Childcare Funding registrations
- Weekly childcare funding returns
- Child attendance review
- Child document management
- Debtor management and credit control
PKelly Vila Reservations
- Taking reservations for foreign villas through various booking channels
- Availability management on various online portals
- Daily reporting and communication with Managing Director
- Communication with local management companies for the arrangement of housekeeping and maintenance
- Management of deposits and debtors in advance of booking fulfilment
- To assist in achieving quarterly occupancy targets in rental properties
- Assisting with the upkeep of website and marketing material
Requirements:
- A Minimum of 2 years Office Administration experience in Hospitality or Busy Office environment
- Excellent computer skills
- Fluent in English
- Have excellent written communication skills
- Customer Service experience would be an advantage
- Experience with a Property Management Systems would be a distinct advantage
- Ability to multi-task
- Self-motivated and ability to work independently and as part of a team
- Ability to respond to ever changing demands of a busy office
- Excellent attention to detail
