We're looking for an experienced Accounts Assistant to become a key part of our administration and finance team. This is a varied role combining accounts administration, supplier and customer communications, document control and general office support. You'll play an important role in helping ensure the smooth day-to-day operation of the business while maintaining accurate financial and administrative records.
Key ResponsibilitiesAccounts Receivable
- Post sales invoices to Xero through Hubdoc.
- Reconcile customer accounts.
- Request payments from debtors and quantity surveyors.
- Follow up on pro-forma invoice payments.
- Issue customer statements through Xero.
- Process lodgments.
Accounts Payable
- Source supplier quotations for materials and consumables.
- Raise purchase orders on Xero.
- Save, scan and upload purchase invoices for processing.
- Match delivery dockets to invoices.
- Post supplier invoices through Hubdoc.
- Reconcile supplier statements and aged creditor accounts at month-end.
Administration & Office Support
- Assist with the preparation and organisation of O&M manuals, including drawings, warranties, ancillary certificates, and technical documentation.
- Coordinate DPD deliveries and maintain delivery records.
- Maintain supplier delivery docket records.
- Update manual stock records.
- Answer incoming telephone calls, take messages and direct enquiries.
- Provide general administrative support to management and other departments as required.
- Acting as lead Receptionist.
We're Looking For Someone Who
- Has experience in an accounts, bookkeeping or finance administration role.
- Has strong attention to detail and excellent organisational skills.
- Is proficient in Xero, Hubdoc and Microsoft Office 365.
- Can manage multiple priorities and work to deadlines.
- Communicates professionally with customers, suppliers and colleagues.
- Is proactive, reliable and willing to support different areas of the business.
- Enjoys working as part of a close-knit team in a busy office environment.
