Job Title: Trainee Customer Service Administrator
Location: Tullamore, Co. Offaly
Contract Type: Permanent (subject to successful completion of probation)
Working Hours: Monday to Friday, 8:15 AM – 5:00 PM
About the Role
We are currently seeking a motivated and detail-oriented Trainee Customer Service Administrator to join our team. This is an excellent opportunity for someone looking to develop a career in administration and customer service within a fast-paced operational environment.
The successful candidate will support the administration of customer accounts, working closely across business systems and departments to ensure accurate processing of orders, documentation, and customer data.
Key Responsibilities
Customer Orders & Administration
- Process and complete customer orders across internal systems using custom built platforms
- Review and verify all order documentation for accuracy, including dockets, weighbridge tickets, and consignment records
- Liaise with site supervisors, drivers, and subcontractors to resolve discrepancies
- Upload supporting documentation such as signed dockets, photos, and reports to systems
- Ensure invoices and pricing align with agreed customer terms
- Purchasing, processing, and completion of waste transfer forms
Reporting & Reconciliation
- Perform daily, weekly, and monthly checks to reconcile order data across systems
- Generate reports and respond to customer requests
- Identify and correct discrepancies between operational and system records
Operational Support
- Assist with incoming deliveries, including booking and documentation
- Support weighbridge and admin teams as required
- Provide cover during team absences and assist with general administrative tasks
- Handle customer queries and provide timely, professional responses
Additional Duties
- Maintain accurate filing and records of all completed paperwork
- Support inter-site transfers and stock reconciliation processes
- Assist with end-of-month processing and reporting tasks
Skills & Experience
· At least two years administrative experience is required
· Able to work on own initiative.
· Have excellent organisation skills.
· Be able to prioritise a busy workload.
· Strong communication skills with a professional approach to customer service
· Have experience within administration.
· Proficiency on all MS packages.
· Ability to multitask and be able to work independently and well within a team.
· Ensure attention to detail and accuracy in all aspects of work.
· A willingness to learn and develop within the role
