Overview
We are a busy coach tour and travel business specialising in UK, Irish & European tours. We are seeking an organised, customer-focused and detail-oriented person to manage the administration and coordination of our tour operations while also supporting the day-to-day running of the office.
This role combines travel operations, reservations, supplier coordination and general office administration. The successful candidate will play a key role in ensuring tours are well organised, customers are looked after and office processes run smoothly throughout the year.
Key Responsibilities
Tour & Travel Operations
- Prepare and coordinate tour itineraries for UK, Irish & European tours
- Research and source hotels, restaurants, attractions and excursion providers
- Liaise with hotels, suppliers and tourism partners regarding availability, pricing and bookings
- Make and manage accommodation, excursion and restaurant reservations
- Prepare tour documentation, schedules and operational paperwork
- Ensure all bookings and tour details are accurate and up to date
- Support the planning and coordination of seasonal tour programmes
- Assist with pricing and costing of tours where required
- Handle customer enquiries relating to tours, bookings and travel arrangements
- Process customer bookings, deposits and balances
- Maintain booking systems, passenger lists and travel records
- Coordinate with drivers, guides and management regarding tour operations
- Assist with problem-solving and operational issues before and during tours
Customer Service
- Provide a professional and friendly service to customers by phone, email and in person
- Respond promptly to customer queries and booking requests
- Assist customers with itinerary information, amendments and travel queries
- Maintain strong customer relationships and high service standards
Office Administration
- Support the general day-to-day administration of the office
- Answer phones and manage incoming emails
- Maintain organised filing systems and office records
- Assist with invoicing, paperwork and general administrative duties
- Update spreadsheets, databases and internal systems
- Help prepare reports, correspondence and promotional materials
- Assist management with ad hoc administrative tasks
- Support social media or marketing administration where required
- Help ensure the office operates efficiently
Skills & Experience Required
- Previous experience in travel, tourism, hospitality or office administration preferred
- Strong organisational and multitasking skills
- Excellent communication and customer service skills
- High level of attention to detail and accuracy
- Ability to work independently and manage competing priorities
- Good problem-solving ability and initiative
- Strong IT skills including Microsoft Office and email systems
- Experience using booking systems or CRM systems is an advantage
- Knowledge of UK and Irish tourism destinations is desirable

Working Hours
- Full-time role
- Flexibility may be required during peak travel seasons
- Some additional hours may occasionally be required during busy operational periods
Pay: €16.50 per hour
