We are seeking a highly organised, proactive, and detail-oriented Sales & Office Administrator to support the efficient operation of our business. This role combines office administration, sales, customer service, and operational coordination to ensure the smooth running of day-to-day activities.
The successful candidate will be a strong communicator with excellent organisational skills, capable of managing multiple priorities while maintaining a high level of accuracy and professionalism. Key ResponsibilitiesSales Administration
- Prepare and process customer quotations, sales orders, and related documentation.
- Support the sales team with administrative and operational tasks.
- Maintain accurate customer records within the CRM and business systems.
- Follow up on customer enquiries and provide exceptional customer service.
- Coordinate order processing and ensure timely communication with customers.
- Assist with tender submissions, proposals, and sales-related documentation.
- Generate sales reports and provide insights to management as required.
Office & Operational Administration
- Coordinate day-to-day office administration and facilities management.
- Manage incoming calls, emails, correspondence, and general enquiries.
- Maintain organised filing systems, business records, and databases.
- Support and coordinate internal office projects and initiatives.
- Develop, maintain, and improve administrative processes, policies, and procedures.
- Assist with scheduling meetings, travel arrangements, and company events where required.
Financial & Supplier Administration
- Manage Accounts Receivable processes, including invoicing and payment follow-up.
- Support Accounts Payable activities and supplier communications as required.
- Coordinate supplier pricing reviews to achieve best-value outcomes.
- Monitor supplier contracts, renewals, and service agreements.
- Assist with inventory management, stock control, and purchasing activities.
Stakeholder & Business Support
- Serve as a key point of contact for internal and external stakeholders.
- Build and maintain positive relationships with customers, suppliers, and business partners.
- Support leadership with resource planning, reporting, and operational activities.
- Assist with business improvement initiatives and process optimisation projects.
- Provide general administrative support to management and wider business teams.
Qualifications & Experience
- Minimum 2 years' experience in a Sales Administrator, Office Administrator, Office Coordinator, or similar role.
- Experience supporting sales processes, customer service, and office operations.
- Demonstrated ability to work independently and use initiative.
- Experience with CRM systems and business administration software is desirable.
- Experience in inventory, supplier, or contract administration is advantageous.
