Shuz Group are on the lookout for a dynamic Office Administrator to champion the smooth operation of our Head Office in the lively hub of Little Island, Cork. You will be working for Shuz Group, who run and operate 26 Skechers stores, one Asics store, and an online website (Life and Sole).
Key Responsibilities
Customer Service & Retail Support

Manage customer enquiries received via email, website, social media, and other online platforms, ensuring a professional and timely resolution.

Monitor and manage customer service tickets, escalating issues where appropriate and ensuring a positive customer experience.

Act as a key point of contact between Head Office and stores, supporting operational and administrative requirements.

Coordinate store maintenance requests through the company's maintenance portal, liaising with contractors, suppliers, and store teams to ensure timely resolution.

Track maintenance works from initiation to completion, maintaining accurate records and providing updates to relevant stakeholders.
New Store Openings

Support the planning and coordination of new store openings, ensuring all administrative and operational requirements are delivered on schedule.

Liaise with contractors, suppliers, store teams, and internal departments to support successful project delivery.

Assist with equipment orders, documentation, scheduling, and store readiness activities.
Buying & Merchandising Administration

Support the administration of company orderbooks, ensuring all product, delivery, and pricing information is maintained accurately.

Upload supplier deliveries and maintain accurate delivery schedules within internal systems.

Monitor and reconcile delivery balances against purchase orders, investigating and resolving discrepancies where required.

Assist with order inputting, amendments, and the maintenance of product records.

Track delivery dates and communicate updates to Buying, Merchandising, Warehouse, and Retail teams.

Maintain accurate pricing data across relevant systems and reports.

Assist with stock intake planning and coordination to support business requirements.

Stocktaking responsibilities.

Prepare reports relating to orders, deliveries, supplier performance, and stock intake.
-
Provide administrative support across the order lifecycle from order placement through to delivery completion, excluding product selection and buying decisions.
Office Administration
-
Provide comprehensive administrative support to management and departments across the business.

Coordinate meetings, appointments, travel arrangements, and management calendars.
-
Manage incoming calls, emails, and correspondence in a professional manner.

Maintain company records, databases, filing systems, and confidential documentation.
-
Prepare reports, process documentation, and support general office administration activities.
-
Monitor office supplies and place orders as required.
-
Assist with invoice processing, expense tracking, and supplier account administration.
-
Coordinate the maintenance and servicing of office equipment and facilities.
-
Support compliance with company policies, procedures, health and safety requirements, and operational standards.

Assist with organising meetings, training sessions, company events, and internal communications.

Identify opportunities to improve administrative processes and contribute to the continuous improvement of business operations.
Skills & Experience
-
Previous experience in an Office Administrator, Administrative Assistant, Customer Service, Buying Administration, Merchandising Administration, or similar role.

Strong proficiency in Microsoft Office, particularly Excel, Word, Outlook, and PowerPoint.

Excellent organisational and time management skills with the ability to prioritise competing deadlines.

Strong communication and interpersonal skills.

Excellent attention to detail and accuracy.

Strong numerical and data-entry skills.

Ability to work independently while also collaborating effectively within a team.
