We are seeking an organised, proactive, and highly professional European Coordinator / Administration Coordinator to join our growing team. This is a fast-paced and varied role supporting senior leadership, project teams, and operational functions across multiple locations.
The successful candidate will play a key role in ensuring the smooth day-to-day running of administrative operations, staff travel and accommodation, project setups, compliance coordination, and office management activities.
This position is ideally suited to someone who thrives in a busy environment, can manage multiple priorities simultaneously, and enjoys working as part of a collaborative team.
Key Responsibilities
- Manage staff travel, accommodation, and car hire requirements across projects and offices.
- Oversee the smooth running of the Administration and Time Management teams.
- Coordinate and general office administration.
- Support operational and project teams with project setups, including liaising with local authorities & coordinating subcontractor engagement
- Support Directors and the Senior Leadership Team with day-to-day operational activities.
- Prepare professional correspondence, proposals, reports, and presentations.
- Coordinate compliance requirements across multiple European locations.
- Manage ShareFile access, compliance platforms, and project documentation.
- Assist with employee transfers and documentation with HR
- Liaise with accountants, tax consultants, insurance providers, and external advisors.
- Prepare and maintain documentation for audits and compliance reviews.
- Work closely with HR and Health & Safety teams to ensure policies and procedures remain up to date.
- Ensure project startup requirements are coordinated and completed on time.
- Maintain subcontractor compliance and insurance documentation.
- Carry out expense compliance and associated administrative duties.
Essential Requirements
- Proven experience supporting senior management within a busy office or operational environment.
- Previous administration or coordination experience within construction, engineering, or project-based industries is advantageous but not essential.
- Excellent working knowledge of Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, OneNote, and SharePoint.
- Strong organisational and multitasking abilities with excellent attention to detail.
- Ability to work independently, use initiative, and manage competing priorities effectively.
- Professional and confident communication skills.
- Comfortable working in a fast-paced and evolving environment.
- Strong problem-solving skills and ability to support operational improvements and change management initiatives.
