Job Purpose - Overview
The Accounts Assistant will have responsibility for the business’s transactional accounting processes (Purchase and Sales Ledgers, Supplier Payments and Customer Receipts). They provide data and analysis to the General Manager, ensuring that the Garlanna leadership team have access to relevant reports to support decision making. They complete the compilation of month and year end financials and provide general administrative support to the management team and General Manager.
Key Responsibilities
Working to support the General Manager who has accountability for Finance, the Accounts Assistant completes the following tasks:
· Answer customer calls and enquiries relating to transactions, invoices and payments
· Receipts, checks, codes and records invoices
· Matches invoices and purchase orders
· Files, scans and indexes invoices so that payment can be made in a timely manner
· Supports month end and year end deadlines ensuring that all tasks are delivered on time
· Closes account queries promptly and efficiently
· Reconciles monthly accounts and resolve discrepancies, escalating issues to the General Manager as needed
· Processes expenses and claims ensuring that VAT is correct and costs are coded correctly
· Chases Proof of Delivery and works with the Sales Team to ensure all documentation is returned on a timely basis
· Liaises with internal management team, warehouse, sales and suppliers to ensure all accounting processes are understood and completed correctly

Stakeholder Relationships
· Directly reporting to the General Manager, the Accounts Assistant Works within a small office team supporting the Sales, Warehouse and Studio
· Reporting into the General Manager, the Accounts Assistant will be required to work confidently alone but present detailed financial information to the leadership team to help colleagues make timely decisions
Qualifications, Skills, Experience Required
Essential
· Experience in working in transactional finance roles
· Possess exceptional organisational and time management skills
· Confident communicating at all levels
· Highly numerate and able to interpret data for themselves and others
· Flexible and has a positive attitude to their job and work environment
· Excellent attention to detail, able to spot discrepancies or issues and act to resolve
· Proficient in Microsoft Office Programmes including Excel, Word and PowerPoint
· Reliable and efficient, enjoys working in a fast paced environment
· Self-motivated and results-oriented
· A proactive and positive attitude, with the ability to work both independently and as part of a team.
Desirable
· Experience with SAP and CardManager Inventory and Finance Systems
