We are seeking an experienced and motivated Service Coordinator to join our Care Services Team. This is a key operational role responsible for coordinating the delivery of high-quality Personal Assistance services across Galway City and County.
Based at our offices in Briarhill Business Park and reporting to the Care Services Manager, the successful candidate will work closely with our Service Users, Personal Assistants, families, HSE colleagues and internal GCIL departments to ensure effective service delivery, responsive support and excellence in person-centred supports.
The role requires strong relationship-building skills, excellent organisational ability, outstanding communication skills (verbal and written), and a commitment to the ethos and principles of Independent Living. The successful candidate will play a central role in ensuring that people accessing supports receive reliable, flexible supports that enable them to achieve their individual goals and live independently in their communities.
The role is office based Monday to Friday office hours , a 39 hour week plus on call 1 week in 4.
Key Responsibilities
Service Coordination
- Coordinate the day-to-day delivery of Personal Assistance services across multiple locations using a bespoke digital management system [OneTouch].
- Manage and maintain staff rosters to ensure continuity of service and effective allocation of supports.
- Balance the needs and preferences of people accessing supports, Personal Assistant availability and funding allocations to deliver services effectively and efficiently.
- Respond promptly and effectively to service changes, emergencies and staffing challenges.
- Assist in securing additional supports or resources where required to meet individual needs.
Stakeholder Engagement
The Service Coordinator will engage daily by telephone/email etc with a wide range of stakeholders including:
- Our Service Users, and with family members/representatives when required.
- GCIL Personal Assistants working throughout Galway City and County.
- HSE staff, including case managers, disability service personnel and community-based teams.
- Colleagues within GCIL, including Care Services, Finance, Human Resources, Quality and Compliance, and Administration.
Personal Assistant Support and Development
- Provide day-to-day guidance and support to Personal Assistants working across city and county.
- Monitor attendance, roster compliance and service standards.
- Participate in an on-call support rota 1 week in 4 to provide out-of-hours operational support when required.
- Foster a positive and collaborative working environment focused on quality, respect and continuous improvement.
- Assist with staff induction, mentoring and ongoing development.
Quality, Compliance and Administration
- Maintain accurate records and documentation using GCIL systems and relevant software platforms.
- Monitor service performance and contribute to continuous quality improvement initiatives.
- Support compliance with HSE requirements, organisational policies, safeguarding requirements, GDPR requirements and health and safety obligations.
- Prepare reports and service information as required.
- Assist with audits, reviews and quality assurance activities as required.
Supporting People to Direct Their Supports
- Build positive, respectful and professional relationships with our Service Users.
- Support individuals to exercise choice, control and decision-making in relation to their supports.
- Act as a key point of contact, responding to queries and resolving issues in a timely manner.
- Promote person-centred and rights-based practices throughout all aspects of service delivery.
- Ensure services are delivered in a manner consistent with the United Nations Convention on the Rights of Persons with Disabilities (UNCRPD) and the values of GCIL.
Collaboration and Service Development
- Work collaboratively with internal departments and external agencies to ensure seamless service delivery.
- Contribute to service improvement projects and organisational development initiatives.
- Support the achievement of GCIL's strategic objectives and commitment to high-quality, person-centred disability supports.
Essential Requirements
- Third-level qualification in Health and Social Care, Disability Studies, Social Care, Healthcare Management, Nursing, Human Services or a related discipline.
- Minimum of three years' experience in a coordination, scheduling, supervisory or service delivery role within disability, home support, community care or related services.
- Excellent verbal and written communication skills.
- Strong organisational, planning and problem-solving abilities.
- Ability to work independently while contributing effectively as part of a multidisciplinary team.
- Experience coordinating services in a dynamic environment with competing priorities.
- High level of IT literacy, including Microsoft 365 and experience using rostering, scheduling and/or administrative software systems.
- Strong understanding of person-centred practice, rights-based approaches and the principles of Independent Living.
- Full clean driving licence and access to a vehicle.
