We are seeking an organised and proactive Office Administrator to join our team at our Ballymount office.
Role Overview
The Office Administrator will be responsible for supporting the day-to-day administrative operations of the business. This role requires excellent organisational skills, attention to detail, and the ability to coordinate service activities between customers and field engineers. The successful candidate will play a key role in ensuring the smooth running of the office and maintaining high levels of customer service.
Key Responsibilities
- General office administration and clerical duties.
- Answering incoming telephone calls and responding to customer enquiries.
- Logging service calls and maintenance requests onto the company system.
- Scheduling and dispatching calls to field engineers.
- Monitoring engineer workloads and updating job statuses.
- Preparing and issuing customer invoices.
- Processing purchase orders and maintaining records.
- Managing customer documentation and filing systems.
- Updating company databases and records accurately.
- Assisting with report preparation and general correspondence.
- Supporting management with administrative tasks as required.
Requirements
- Previous experience in an office administration or similar role.
- Proficiency in Microsoft Office, particularly Outlook, Word and Excel.
- Excellent organisational and time management skills.
- Strong communication and customer service abilities.
- Ability to prioritise workload and work independently.
- High level of accuracy and attention to detail.
- Professional and positive attitude.
- Experience in a service, maintenance, engineering, or facilities management environment.
- Experience scheduling or dispatching field engineers.
- Familiarity with invoicing and accounts administration.
- Experience using CRM or job management software.
Pay: €28,000.00-€30,000.00 per year
