We are currently seeking an experienced (2+ years) Human Resources Administrator for a varied and challenging role. The job will have involvement in many aspects of the Human Resources function which includes but is not limited to direct advertising and recruitment administration, preparation of contract paperwork and maintenance of staffing files, collation of timesheet data for payroll, administration of training records, rostering staff for events, preparation of site rosters, assistance with on-site induction of staff and undertaking of event based roles while on site, participation in the review and updating of contractual paperwork and policies and general office telephone and administration duties. Flexibility to travel to event sites in Galway and other nearby counties is required.
Responsibilities – LHC Event Staffing
- Actively advertise for and shortlist staff to work for events as required.
- Check references for potential hires as required, issue contract documentation as advised by the HR Manager and support the induction process and the delivery of on-site induction training.
- Ensure the necessary paperwork relating to personal details, remuneration and bank details for new and returning staff is completed and sent to Payroll for processing.
- Roster staff for events, replace cancellations, communicate start/finish times to staff and ensure that an authorized timesheet is submitted to Payroll. This may involve out of hours telephone cover in particular before events scheduled on Mondays.
- Support Supervisors at event locations to ensure that breaks are allocated, uniform requirements are adhered to and timesheets are signed.
- Maintain good communications and working relationships with staff, management and colleagues.
- Facilitate the completion of Social Welfare/Grant application forms and respond to employment verification requests.
- Reappoint returning staff and complete associated paperwork and contract information.
- Engage positively with telephone and in-person callers enquiring about opportunities, progress of applications, completion of PPS applications etc.
- Assist with the preparation of on-site safety manuals and associated documents.
- During race week in Galway, the post holder will re-locate to the racecourse site as part of the HR team to facilitate the induction of new staff daily, to support on-site Supervisors in their staff supervision roles and to ensure data from timesheets and break records are collated accurately and provided to payroll to enable the smooth processing of payroll at the end of race week.
- The post holder will handle the staffing administration and work at the autumn race meetings, currently held in September and October and will attend site on all autumn race meeting dates including the October Bank Holiday Weekend.
Ongoing Generalist Human Resources administration duties
- As well as administration for events in the busy season, support for the Restaurant Managers across all of the sites also remains in place.
- This role also provides administration for the training requirements of the company, e.g. maintaining training records, booking courses, setting up online links, issuing certificates etc.
- There are regular reviews to our contract documentation to ensure compliance and best practice and this requires the support of the administrator to update the documents and circulate to business supervisors and employees as necessary.
- As part of their professional development, it is expected that the post holder will actively keep themselves abreast of changes in legislation both current and forthcoming
- The post holder will support he HR Manager with good upkeep of staff records and work collaboratively with the Payroll department with regard to provision of accurate data for references, completion of statutory paperwork, grant applications for students etc.
- There is an ongoing requirement for all reasonable tasks associated with a HR Administration role e.g. filing, handling emails, dealing with queries etc.
This role requires on site attendance. It is not a hybrid role, however, flexibility regarding hours of work can be offered to the successful candidate.

- The job holder will be vigilant with regard to the security of information relating to the department. The nature of our roles means we work closely, often on a colleague basis with staff in restaurants and on event sites, however, this must not ever compromise the security of private or personal information relating to either employees or the company’s business.
- The job holder will be cost conscious in relation to expenditure and always seek to acquire the best value for money in relation to all staffing and HR related costs.
Educational/Academic Requirements
- Relevant industry qualification with a minimum of 2 years post qualification experience in a Human Resources administration environment is required
- Proficiency in the use of the Microsoft office suite is essential and experience of using HR database software is desirable
- Proven attention to detail in relation to figure work and contract work
- Due to the requirement for on-site attendance at events, owning or use of a car is an advantage
