Document Controller Administrator

About the Role
Extreme Balconies is seeking an organised and proactive Document Controller / Design Administrator to support our design and project teams.
The role will focus on uploading, issuing and tracking construction drawings and technical documents across multiple client document management systems. We currently work across approximately six different client platforms, including:
- Zutec
- Procore
- Oracle Aconex
- Other client-specific document management systems
A key part of the role will be monitoring drawing submissions, approvals, comments and rejections. Where a drawing or document is rejected, the Document Controller will identify the reason, return it to the appropriate internal team member and follow up until the document is revised, resubmitted and approved.
This role would suit someone with previous construction administration or document control experience who is comfortable managing several systems, projects and document registers simultaneously.
Key Responsibilities
- Upload drawings, technical documents, certificates and submissions to client document management systems
- Manage documents across approximately six different client platforms
- Maintain accurate drawing, submission and document registers
- Monitor documents through submitted, reviewed, approved, rejected and resubmitted stages
- Review client comments and rejection reasons
- Return rejected documents to the appropriate designer, engineer or project team member
- Follow up on outstanding actions, revisions and approvals
- Ensure the correct drawing revisions are uploaded and issued
- Prevent outdated or superseded drawings from being used
- Maintain clear records and audit trails for all document submissions
- Download and distribute approved drawings and client comments
- Prepare regular reports on outstanding approvals, rejected documents and overdue actions
- Liaise with internal design, commercial, site and project teams
- Support the design team with general administrative and document management duties
Experience and Skills
- Previous document control, construction administration or design administration experience
- Experience within the construction, engineering, architectural or manufacturing sector is strongly preferred
- Experience using systems such as Zutec, Procore or Aconex would be a significant advantage
- Strong organisational and follow-up skills
- High level of accuracy and attention to detail
- Ability to manage multiple projects and priorities
- Confident communicating with designers, engineers, project managers and client teams
- Good Microsoft Office skills
- Ability to work independently and take ownership of outstanding submissions
Training will be provided on individual client systems, but previous experience using construction document management platforms would be highly beneficial.
Working Arrangements
This position is available on either a full-time or part-time basis.
Part-time working hours can be discussed with the successful candidate. However, the role will require consistent availability throughout the working week to monitor submissions, respond to rejections and follow up on outstanding approvals.
Salary
€34,000–€38,000 per year, depending on experience and based on a full-time position.
Part-time salary will be calculated on a pro-rata basis.
