Administration Assistant

About the Role
We are looking for an experienced and organised Administration Assistant to join our busy team at Boiler Tech Ltd., a well-established heating and plumbing company based in Croagh, Co. Limerick.
This is a varied and important role within the business, working closely with customers, suppliers and our team of engineers. You will play a key part in keeping the office, appointments and day-to-day running of the business organised and running smoothly.
We are a small, close-knit team, so we are looking for someone who is friendly, confident, capable and willing to get involved. No two days are exactly the same, and the successful candidate will need to be comfortable taking responsibility, using their own initiative and dealing with things as they arise.
What We're Looking For
The ideal candidate will have 2–3 years' experience in a similar administration or customer service role and be confident dealing directly with the public.
You will need to be someone who:
- Is professional, reliable, trustworthy and takes pride in their work
- Has an outgoing, friendly and confident personality
- Has excellent written and spoken English
- Has a professional and friendly telephone manner
- Is highly organised and has excellent attention to detail
- Can prioritise tasks and remain calm in a busy environment
- Can work independently but also enjoys being part of a small team
- Has good problem-solving skills and is comfortable using their own initiative
- Understands the importance of confidentiality
- Has excellent timekeeping and time-management skills
- Is flexible and willing to take on a variety of tasks as required
IT & Office Skills
You should be confident using:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
- Google Maps and route planning
- Email and general office systems
Experience with Tradify and Xero would be a significant advantage, although training can be provided to the right candidate.
Your Day-to-Day Responsibilities
The role will involve a wide range of duties, including:
- Answering and dealing with incoming calls and customer enquiries
- Booking and scheduling customer appointments
- Managing the company diary and organising engineer schedules
- Planning and coordinating engineer routes
- Liaising with engineers throughout the day
- Contacting customers regarding appointments, updates and queries
- Providing a high level of customer service and client care
- Raising invoices and processing payments
- Ordering parts and materials from suppliers
- Monitoring and responding to emails
- Maintaining accurate customer and job records
- Filing, scanning and processing paperwork
- General office administration and stock management
- Helping with the smooth day-to-day running of the business

Important Information About the Workplace
Our office is located in a dedicated front-room office within the owner's family home, which is occupied at all times. It is a professional working environment, and the office has full access to the kitchen facilities.
The successful candidate must be comfortable working in this type of small, home-based office environment and working closely with the team on a daily basis.
