JOB TITLE:
Finance Manager
MAIN PURPOSE OF THE JOB:
To manage and maintain the company’s financial operations and compliance processes, ensuring all banking, invoicing, reporting, and payroll activities are accurate, up to date, and audit-ready. It supports effective financial decision-making by providing clear reconciliations, reports, and communication between directors, suppliers, and external partners.
WHO YOU ARE RESPONSIBLE TO:
Managing Directors
MAIN TASKS OF THE JOB:
Bank & Transaction Management:
- Reconciling multiple bank accounts in Xero; identifying, allocating, and documenting incoming/outgoing transactions; maintaining audit-ready trails.
Customer & Supplier Invoicing:
- Creating and issuing invoices, credits, and statements; reconciling customer payments and supplier balances; chasing missing documentation or clarifications.
VAT & DRS Compliance:
- Preparing and filing returns; ensuring sales (including online and cash) are accurately captured; flagging inconsistencies or gaps that could affect compliance.
Reporting & Analysis:
- Producing monthly reconciliations, cashflow and DRS summaries, supplier overviews, and management reports; troubleshooting anomalies; supporting external accountant reviews.
Payroll & Expenses:
- Managing BrightPay runs, posting journals, reconciling payroll entries to bank, and verifying staff expenses for accuracy.
Email & Communication Management:
- Handling a high daily volume of finance-related emails from directors, suppliers, and external partners; clarifying queries, providing reports, and tracking follow-ups.
Meetings & Coordination:
- Attending weekly or ad-hoc meetings with directors, auditors, and suppliers; providing financial updates, clarifications, and documentation.
Audit Preparation & Compliance:
- Maintaining full dated documentation for reconciliations and returns; identifying missing records; noting limits of data provided to protect audit traceability.
Operational Tasks:
- Managing rent invoices, production payments, and ad-hoc financial admin; supporting cashflow forecasting and process reviews.
