Job Description
Sigma Wireless are seeking a highly organised, customer-focused Sales Administrator to support the smooth and efficient operation of the sales function.
The successful candidate will provide day-to-day administrative support to the sales team, assist with customer enquiries, prepare quotations and sales documentation, coordinate order processing, and help maintain accurate sales and customer records.
This is an important support role within the business, requiring excellent attention to detail, strong communication skills and the ability to work effectively with customers, suppliers, sales colleagues, finance, logistics and engineering teams. The role is suited to a proactive individual who enjoys working in a busy environment and takes pride in delivering a professional and responsive service.
Key Responsibilities
- Provide administrative support to the sales team in the preparation and management of quotations, proposals, order documentation and customer correspondence.
- Process customer orders accurately and in a timely manner, ensuring all required information, pricing, product codes and delivery details are complete.
- Act as a key point of contact for customer queries, responding professionally and escalating matters to the appropriate sales, technical, finance or logistics colleagues where required.
- Maintain accurate customer, sales and order records within company systems, ensuring information is up to date and readily available.
- Support the preparation of sales reports, pipeline updates, customer account information and other administrative reports as required.
- Liaise with logistics to confirm stock availability, delivery timelines, shipment updates and order status.
- Assist with invoice queries, credit notes, purchase order follow-up and general coordination with the finance team.
- Support the sales team with tender documentation, supplier forms, customer onboarding documents and general compliance information where required.
- Coordinate meetings, customer visits, internal updates and sales administration tasks to ensure efficient communication across departments.
- Monitor shared mailboxes and incoming enquiries, ensuring requests are acknowledged, prioritised and actioned promptly.
- Maintain organised electronic records of quotations, purchase orders, contracts, customer communications and related documentation.
- Contribute to continuous improvement of sales administration processes, helping to improve accuracy, responsiveness and customer service.
- Carry out any other reasonable administrative duties required to support the commercial and operational needs of the business.
Required Experience and Skills
- Previous experience in a sales administration, customer service, order processing or office administration role is desirable.
- Strong administration skills with excellent attention to detail and accuracy.
- Confident communicator with a professional telephone manner and strong written communication skills.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Experience using ERP and/or order processing systems would be an advantage.
- Ability to manage competing priorities, work to deadlines and remain organised in a busy environment.
- Strong customer service focus with the ability to build positive working relationships with customers and colleagues.
- Ability to work independently while also contributing positively as part of a wider team.
- Experience in telecommunications, engineering, technology, distribution, logistics or a technical sales environment would be beneficial but is not essential.
