ROLE:
Q4PR, Ireland’s leading strategic communications agency, is seeking a motivated Office Administrator. Located in Cork City, this new team member will work closely with our Cork based team that includes a Senior Communications Manager and a PR and Communications Executive on several exciting public projects that focus on sustainable transport.
The successful candidate will join a dynamic and adaptable team, playing a crucial role in supporting the administrative needs of the various projects being undertaken by our Cork based team.
This full-time position is a 2-year fixed-term role and is ideal for someone who is highly organised, task orientated and detail focused.
Salary Range: €30,000 - €35,000 (depending on experience)
Key responsibilities will include:
· Meeting and greeting members of the public who present at the Cork office to view project related materials.
· Monitoring of project inboxes and, with guidance and support, draft responses to queries.
· Printing and scanning project related documentation, when required.
· Liaising with catering supplier in advance of any stakeholder meetings that require catering.
· Supporting team with various aspects of procurement and payment processes e.g. seeking quotes from suppliers/preparing and issuing invoices.
· Logging project related data on multiple platforms including Excel and CRM software.
· Opening and logging post and prepare and post correspondence, as and when required.
· Supporting stakeholder mapping activities.
· Updating website and/or social media channels.
· Under the guidance of the PR and Communications Executive, acting as a point of contact for a range of service providers and suppliers including media buying agency, creative and advertising agency, graphic designers and printers.
· Supporting senior colleagues in Cork and Dublin with various administrative tasks relating to ongoing communications and public affairs campaigns e.g. working with printers and delivery service to ensure execution of bulk leaflet drops.
· Where needed, supporting the planning and delivery of large-scale stakeholder events with internal and external partners in Cork and elsewhere.
KEY EXPERIENCE:
· 1-2 years’ experience in an office administrator role, or similar.
SKILLS:
· A self-starter, ability to think on your feet and to take ownership of tasks that are assigned to them.
· Excellent writing and presentation skills.
· Proficient IT skills including Microsoft Office suite.
· Excellent event management skills would be beneficial.
· Solid understanding of social media and the digital media landscape.
· An ability to work both as part of a team and, at times, independently.
· An ability to multi-task effectively and meet deadlines.
· Strong work ethic and attention to detail.
· An ambitious individual who has the enthusiasm to join a dynamic team and fast-paced environment.
· Active consumer of media with an understanding of Cork and national media.
· An interest in public infrastructure, travel, and climate change initiatives.
