Operations Coordinator:
Coatek currently has an excellent opportunity for an experienced Operations Supervisor to join our team, based in our office in Arklow, Co. Wicklow.
This is a key role within the business, responsible for coordinating day-to-day operational activities and supporting the effective and efficient planning of production and installation schedules. The successful candidate will help ensure that projects and installations are delivered on time, within budget, and to the highest standard of quality and customer service.
The role will involve working closely with our sales, design, production, project management, finance and installation teams, as well as external contractors, to ensure smooth day-to-day operations, strong communication, accurate information and the efficient use of resources.
About the Role
The Operations Supervisor will be responsible for coordinating weekly and daily installation schedules, supporting production planning, booking subcontractors, assisting installers and ensuring that operational capacity is planned effectively.
The successful candidate will act as a central point of communication between departments, helping to identify and resolve operational issues, maintain accurate records, monitor progress and ensure that teams have the information and resources required to complete their work efficiently.
This role would suit a commercially focused individual who has a strong track record in efficiency, coordinating teams and delivering excellent results for both the customer and the business.
The ideal candidate will understand how scheduling, production planning, resource allocation, installer performance and effective operational coordination impact profitability and overall business performance.
Key Responsibilities
Responsibilities will include, but are not limited to:
- Managing and coordinating weekly and daily production and installation schedules
- Supporting the day-to-day coordination of operational activities across the business
- Acting as a key point of contact between sales, production, operations, finance, installation teams and external contractors
- Monitoring the progress of projects, production requirements and installations, escalating delays or operational issues where necessary
- Liaising with, booking and coordinating subcontractors
- Organising and renewing installer tickets, certifications, insurance details and compliance documentation
- Maintaining regular communication with operations, production, sales, project management, finance, installation and scheduling teams
- Ensuring installation activities are completed on time, within budget and in line with agreed quality standards
- Overseeing and managing the performance of external contractors
- Ensuring installation crews are utilised in the most efficient, lean and profitable manner
- Working closely with production and sales teams to maximise internal capacity and support realistic project timelines
- Coordinating labour, materials, equipment and other resources required for scheduled works
- Ensuring relevant teams receive accurate and timely job information, project updates and schedule changes
- Liaising with on-site teams and project managers to reduce waste, eliminate errors and support excellent customer service
- Identifying operational bottlenecks, scheduling conflicts and resource constraints and helping to implement practical solutions
- Managing installer performance and supporting the wider installation team
- Supporting clients, installers, subcontractors and internal teams with queries and day-to-day operational tasks
- Maintaining accurate operational records, schedules, project information and internal systems
- Supporting the preparation of operational reports, performance information and management updates
- Working closely with the finance team to ensure reporting, job information, contractor costs and project records are accurate and up to date
- Monitoring operational performance against agreed timelines, budgets and service standards
- Supporting continuous improvement initiatives aimed at increasing efficiency, reducing waste and improving customer service
- Assisting with the development and implementation of operational procedures and processes
- Ensuring operational activities are carried out in accordance with company procedures, health and safety requirements and compliance standards
- Supporting the management team with operational priorities and business improvement initiatives

Required Skills and Experience
- Three or more years’ proven experience in operations coordination, scheduling management, operations planning, project coordination or a similar role
- A minimum of two years’ experience managing or coordinating schedules
- Excellent communication, planning, organisation and analytical skills
- Strong time management and prioritisation skills
- Experience working in a fast-paced operational environment
- Ability to coordinate multiple teams, contractors, projects and schedules at the same time
- Strong attention to detail and problem-solving ability
- Experience maintaining accurate operational records, reports and documentation
- Ability to identify potential delays, risks and resource issues and take appropriate action
- Confidence using scheduling systems, spreadsheets and general office software
- Ability to work independently while maintaining strong communication with the wider team
