About the Role:
KOS Ergonomic Solutions are Ireland’s largest ergonomics company, we are a growing SME providing ergonomic assessments, workplace solutions, office equipment and employee wellbeing services across Ireland and Europe. We are seeking a highly organised and proactive Executive Operations & Quality Systems Manager to work directly with the business owner and support the smooth running of day-to-day operations across the organisation.
This is a hands-on, cross-functional and varied role where you will be responsible for quality and process improvement. The business owner will remain responsible for setting the strategic direction, deciding business priorities, and identifying the most important commercial, operational and customer outcomes. The person in this role will then help translate those priorities into clear actions, owners, timelines, follow-up rhythms and delivery of completed work.
Key Responsibilities
Executive Operations
The role involves supporting the owners work across business functions, giving the successful person exposure and mentoring across sales, customer operations, systems, SOPs, quality and process improvement.
- Managing and triaging inboxes, emails and follow-ups.
- Helping prioritise the owner’s daily and weekly workload, scheduling meetings, and diary flow.
- Drafting emails, updates, proposals and internal communications
- Supporting owner delegation cross-functionally, managing outcomes and deadlines.
Quality Systems and Process Improvement:
- Overall responsibility for general operations and quality of output across the business, identifying recurring errors, delays or process gaps and helping fix the root cause.
- Systems Training Lead, guiding colleagues on correct system and process use.
- Developing, document and training on Standard Operating Procedures (SOPs)
- Developing templates, checklists and workflow documentation
- Owning quality standards and business improvement initiatives, helping create a more structured, scalable and quality-led way of working
About the successful candidate:
You will likely have 5+ years' experience in executive support, operations support, sales support or a similar role and be comfortable working within a busy SME environment.
You will need to be:
- Highly organised with excellent attention to detail
- Strong at prioritisation and follow-through
- Commercially aware and customer focused
- Confident communicating with customers, suppliers and colleagues
- Good judgement and the ability to prioritise
- Advanced in Microsoft Word, Excel and PowerPoint
- Successful in leading teams
- Systemised approach to work.
- Proficient using CRM / ERP and business systems
- Somebody who enjoys systems, has ability to document processes clearly
- Have a proactive mindset and willingness to act without waiting to be asked
- Experience using CRM, workflow, ERP or business management system
Desirable:
- Experience supporting a business owner, MD or senior manager within a growing SME.
- Experience improving SOPs, workflows, templates or quality checks
- Experience as a trainer
- Interest in LEAN methodology, quality systems, ISO-style processes, AI implementation or continuous improvement.
Because we are an SME, the role requires flexibility. You will have clear core responsibilities, but you will also be expected to step in and support different areas of the business when needed.
