Job Title: Receptionist
Location: Nazareth House, Malahide Rd, Grace Park, Dublin, D03 KW08
Reporting to: Director of Nursing
Contracted Hours: 9 hours per week, consisting of three 3-hour shifts.
Purpose of Job:
- To ensure the safety and security of the main entrance, by ensuring that all visitors/health professionals/residents entering or leaving the building are recorded and monitoring of same.

To maintain at all times a tidy, warm and welcoming reception area.

To act as the first point of contact for visitors or telephone callers.

To assist with administrative tasks/computerised record keeping as required.
Main Responsibilities:

Answer all incoming calls in a courteous and prompt manner. Greet the caller, identify yourself as Nazareth House Care Village and direct the call efficiently. Politely ask all callers for their names so that you can advise the recipient accordingly.

Take accurate messages in the event of the relevant staff member not being available and relay the message as soon as possible.

Please take pride in your surroundings! Ensure the reception area is kept tidy at all times on duty in early morning, hoover behind the reception desk as necessary and clear away any flowers that no longer appear fresh. Remove any out-of-date information leaflets/magazines etc.

Greet all visitors in a courteous manner, and direct to relevant personnel.

Offer refreshments to visitors or bereaved families if required.

Ensure all visitors sign visitors' book.

Do not leave the reception area unattended at any time.

Safe handling of monies received for Mass cards/ raffles.

Ensure that any goods delivered are received as per order.

Process invoices/service dockets and pass to General Manager who will ensure that suppliers are paid in accordance with the Home's policy.
Administrative Duties:

Record all admissions, transfers and discharges in the Admission book as instructed by the Nurse Manager or Deputy. Inform Health Trusts of hospital admissions/discharge within 24 hours.

Sort all incoming mail and newspapers. Cancel papers as advised by Nursing staff eg if a resident is in hospital.

Collate and ensure posting of all outgoing mail. Collate and make arrangements for delivery of all internal mail. Advise Director of Nursing when franking machine needs to be re-credited.

Produce posters/letters/tables/spreadsheets etc as required.

Maintain accurate and updated fire evacuation checklists for all residents.

Advise General Maintenance personnel of samples to be delivered to Health Centre.

At end of evening shift, ensure all windows in Administration area are closed, lock main entrance doors and switch off lights. Draw all curtains in the reception area when darkness falls. See separate instructions for securing the building when leaving at night.

Required:
Ability to communicate effectively at all levels
Genuine interest in working with the relevant client group
Satisfactory Garda Vetting.
