We are seeking a highly organised, proactive, and discreet Executive Assistant to support our senior leadership team as we grow. This position plays an important role in ensuring the effective day to day operation of the executive office, coordinating high level administrative tasks, managing internal and external events, and acting as an internal coordinator for the Company’s Marketing partner agency.
Key Responsibilities
Executive Support
- Provide comprehensive administrative assistance to the Managing Director and agreed leadership team members.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Assist with meetings, including preparation of agendas, minutes, and follow up actions.
- Prepare reports, presentations, and documentation for client facing meetings.
- Act as the primary point of contact for internal and external stakeholders on behalf of the Managing Director and agreed leadership team members.
- Handle confidential information with the highest level of professionalism and discretion.
Event Management
- Plan, coordinate, and deliver internal and external events, including:
- Employee engagement events
- Client appreciation events
- Industry networking events
- Training days and company offsites
- Ensure all events reflect the company’s brand, values, and compliance obligations.
Marketing Coordination
- Support marketing initiatives in collaboration with internal teams and external agencies.
- Assist with the planning and scheduling of marketing campaigns, social media content, and digital communications.
- Coordinate production of marketing materials (brochures, presentations, newsletters).
- Track marketing activities, gather data, and prepare performance reports where needed.
- Maintain consistent brand identity across all communications.
Other Duties
- Support ad hoc projects and initiatives aligned with business strategies.
- Provide cross functional support, where required, to ensure smooth operations across the organisation.
Key Skills & Competencies
- Experience in an Executive Assistant, Office Manager, or high-level administrative role is required.
- Experience in event management and/or marketing coordination is an advantage.
- Excellent organisational and time management skills, with strong attention to detail.
- Ability to multitask and prioritise in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft 365 (Teams, Outlook, SharePoint, Excel, PowerPoint and CoPilot).
- Professional and approachable manner with the ability to build positive working relationships.
- Comfortable coordinating multiple moving parts.
- Discretion, integrity, and a strong understanding of confidentiality requirements.
