Job Summary:
The Conference & Banqueting Porter plays a key role in the successful delivery of meetings, conferences, weddings, banquets, and special events across The Grace Westport Estate. This role is responsible for the efficient setup, maintenance, and breakdown of event spaces, ensuring all function rooms are presented to the highest standard and prepared in accordance with event requirements.
Working closely with the Conference & Banqueting team and other hotel departments, the Porter supports the smooth operation of events by managing furniture, equipment, staging, and room configurations while maintaining a safe, organised, and welcoming environment for guests and colleagues.
Key Responsibilities

Prepare conference rooms, meeting spaces, banquet suites, and event venues in accordance with event function sheets and room setup plans.

Set up and dismantle tables, chairs, staging, dance floors, podiums, screens, audiovisual equipment, and other event furnishings as required.

Service meeting rooms throughout the day, ensuring refreshments, room layouts, equipment, and supplies are maintained in line with organiser requirements.

Act as an operational point of contact for meeting organisers during events, responding promptly to requests and liaising with the Conference & Banqueting team to ensure a seamless experience.

Ensure all event spaces are presented to the highest standard before guest arrival, maintaining cleanliness, organisation, and attention to detail.

Carry out timely room turnarounds between functions to support the efficient delivery of multiple events throughout the day.

Transport and store furniture, equipment, linen, and event materials safely and efficiently.

Assist with the movement and positioning of bars, buffets, display tables, and other operational equipment required for events.

Support the replenishment of event supplies, bar stock, equipment, and guest amenities during conferences, meetings, and banquets.

Work closely with the Conference & Banqueting, Kitchen, Bar, Housekeeping, Maintenance, and Front Office teams to ensure seamless event execution.

Report any maintenance issues, equipment defects, or health and safety concerns promptly to the appropriate department.

Ensure all storage areas, function equipment, and back-of-house spaces remain clean, organised, and safely maintained.

Follow departmental procedures, daily task lists, and event schedules to ensure operational readiness.

Adhere to all health and safety policies, manual handling procedures, fire safety requirements, and company standards at all times.

Provide courteous and professional assistance to guests, directing requests to the appropriate team members where necessary.

Support colleagues across the Food & Beverage operation during busy periods as directed by management.

Required Experience & Skills

Previous hospitality or customer service experience is beneficial but not essential.
