The role of School Bursar/Accounts Administrator is central to the effective operation of the school, ensuring the efficient management of financial records and administrative systems.

ROLE DESCRIPTION - School Bursar
The School Bursar is responsible for the effective management of the school's financial, payroll and procurement systems, supporting the Principal and Board of Management in ensuring the efficient operation of the school's business and administrative functions.
Key Responsibilities
Finance and Accounts
- Manage the school's accounting systems, including Sage and other financial software.
- Process invoices, payments, receipts and bank reconciliations.
- Prepare financial reports, budgets and expenditure updates for the Principal and Board of Management.
- Assist with annual accounts, audits and financial returns.
- Monitor school income and expenditure and maintain accurate financial records.
Payroll and HR Administration
- Coordinate payroll with office admin staff using BrightPay and ensure compliance with Revenue, pension and statutory requirements.
- Maintain staff payroll and personnel records.
- Support the administration of non-teaching staff contracts, leave records and related HR documentation.
Banking and Income Management
- Manage online banking, payment runs, lodgements and cashflow monitoring.
- Oversee school income streams, including grants, capitation funding and online payment systems such as Swoofee.
- Reconcile income and prepare financial returns as required.
Procurement and Purchasing
- Manage school purchasing and ordering systems.
- Process purchase orders, supplier payments and procurement documentation.
- Obtain quotations and ensure value-for-money and compliance with school procurement procedures.
- Maintain records of assets and equipment where required.
Compliance and Administration
- Ensure compliance with financial, audit, procurement and data protection requirements.
- Support the preparation of grant claims, Department of Education returns and Board reports.
- Assist with financial planning for school development projects and capital works.
- Maintain the highest standards of confidentiality, professionalism and accuracy.
- Some experience in finance, bookkeeping, payroll or business administration.
Desirable
- Excellent organisational, numerical and administrative skills.
- Strong attention to detail and ability to work independently.
- Ability to maintain confidentiality and manage multiple priorities.
- Knowledge of Sage, BrightPay, Microsoft Excel and online banking systems
- Qualification in accounting, bookkeeping, payroll or business administration.
- Experience working in a school or educational setting.
Reporting Relationship
The School Bursar reports directly to the Principal and supports the work of the Board of Management Finance Committee on financial and administrative matters. They also work closely with the school secretaries and deputy principals.
GENERAL TERMS AND CONDITIONS OF EMPLOYMENTHours of work:20 - 25 hours per weekWhen school is in situ, normal office hours are 9:00 am – 1.00/2:00 pm Monday to Friday, but the opportunity exists for hours of work to be delivered in a flexible manner.
Holidays must be taken at times to coincide with school holidays throughout the year and by prior agreement with school management.
Remuneration:
In line with experience and reflecting the Salary Scale set out for School Secretaries in Circular Letter 36/2022● The retirement age applicable to your employment is 65 years.
Garda Vetting:
Employment is subject to Garda Vetting Procedure and Compliance with all appropriate Child Protection and Department of Education and Skills guidelines will be required.
