We're looking for a Client Success & Administration Coordinator who will become the first point of contact for our clients and help ensure the smooth day-to-day running of the clinic.
This role is ideal for someone with experience in customer service, client success, hospitality, healthcare administration or office coordination who thrives in a busy environment, enjoys building relationships and takes pride in keeping everything organised.
About the Role
You'll play a key role in ensuring every client has a positive experience from their first enquiry through to ongoing appointments. You'll manage the day-to-day administration of the clinic while supporting the team to ensure everything runs smoothly.
Key ResponsibilitiesClient Success
- Be the first point of contact for all client enquiries by phone, email and in person.
- Guide new clients through the booking process with confidence and professionalism.
- Build strong relationships with clients throughout their journey.
- Support client retention through proactive follow-up and excellent customer service.
- Ensure every client receives a warm, friendly and professional experience.
Administration & Clinic Coordination
- Manage clinician diaries and appointment scheduling.
- Coordinate daily clinic operations to ensure everything runs efficiently.
- Process payments, invoices and receipts.
- Maintain accurate client records using our practice management software.
- Respond promptly to emails, phone calls and client enquiries.
- Prepare reports and assist with general administration.
- Help maintain a clean, welcoming and organised clinic environment.
Team Support
- Work closely with our physiotherapists and coaches to ensure seamless communication.
- Support onboarding of new clients.
- Assist with internal projects and process improvements.
- Help coordinate client communications and follow-up systems.
About You
We're looking for someone who is organised, approachable and genuinely enjoys helping people.
You will ideally have experience in:

- Healthcare Administration
- Reception or Front Desk
- Hospitality
- Office Administration

Pay: €40,000.00-€50,000.00 per year
