We currently have a Senior Fleet Administrator vacancy based in our Dublin depot. This role will be responsible for supporting the effective management, compliance, coordination and administration of the company’s van fleet. The role will involve overseeing day-to-day fleet administration while ensuring vehicles are maintained, compliant, cost-controlled and available to support business operations.
Key duties will include:
- Manage the administration of the company van fleet, ensuring vehicle records, documentation and asset information are accurate, compliant and up to date.
- Monitor fleet compliance requirements including CVRT, road tax, insurance, servicing, maintenance schedules, inspections and all statutory obligations.
- Track vehicle availability, utilisation, downtime and workshop activity, providing accurate data to support operational planning.
- Maintain fleet records including vehicle allocations, driver information, mileage, fuel usage, fines, damage reports and service history.
- Coordinate vehicle procurement, onboarding, replacement planning and de-fleeting/disposal activities, ensuring effective asset tracking and documentation.
- Review fleet expenditure, supplier invoices and maintenance costs, supporting cost control and budget reporting.
- Produce fleet reports and management information covering compliance, utilisation, costs, maintenance activity, downtime and key performance indicators.
- Support accident, damage and insurance administration, liaising with suppliers, service providers and internal stakeholders to resolve fleet-related queries.
- Drive continuous improvement in fleet administration processes and support the effective use of fleet management systems, ensuring data quality and consistency.
- Ensure all fleet activities are carried out in line with company policies, health and safety standards and relevant transport compliance legislation.
Additional Senior-Level Responsibilities
- Act as a key point of contact for fleet administration queries across the business.
- Support management with fleet planning, cost forecasting and performance reporting.
- Escalate compliance risks, recurring vehicle issues, supplier delays or high-cost maintenance trends.
- Contribute to continuous improvement of fleet systems, dashboards, reporting tools and administrative controls.
- Help ensure the fleet function operates in a proactive, organised and commercially focused manner.
