About the Department of Foreign Affairs and Trade
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
The Corporate Services Officer delivers a broad range of administrative, financial, reception, and corporate management services to support the operations of the Australian Embassy in Ireland. The role requires the ability to work independently with limited supervision, exercise sound judgement, and demonstrate strong interpersonal and communication skills. The position plays a key role in supporting the Australian community in Ireland, maintaining effective relationships across the Embassy’s stakeholder network, and contributing to the efficient delivery of corporate services.
Key responsibilities of the position include but are not limited to:
- Manage financial administration activities, including accounts payable, accounts receivable, account reconciliation and SAP transactions, and assist the Corporate Services Manager with budget monitoring, financial reporting and analysis.
- Administer procurement, contract and asset management processes, including maintaining registers, supporting stocktakes and ensuring compliance with DFAT policies and procedures.
- Maintain the Embassy's records and information management systems and coordinate the receipt, registration, distribution and storage of official correspondence, mail and other documentation.
- Provide reception, switchboard and front-of-house services, manage the Embassy's general enquiries channels, and respond to routine public enquiries relating to passports, consular, notarial, visa and other Embassy services.
- Coordinate administrative support for the Embassy's property and facilities portfolio, including liaison with service providers and stakeholders regarding maintenance, repairs and facilities management for the Chancery and official residences.
- Provide administrative support across human resources and passport operations, including coordination with relevant service delivery partners and internal stakeholders.
- Assist in the planning, coordination and delivery of official events, visits, and key Embassy engagements.
- Contribute to the effective operation of the Corporate Section by supporting cross-functional activities, maintaining collaborative stakeholder relationships and undertaking other duties as directed.

Comprehensive general administrative knowledge.
- Strong competency with Microsoft applications (particularly Excel), SAP, and Salesforce.
- High attention to detail in financial management.
- Ability to maintain confidentiality, and exercise discretion and judgement.
- Excellent organisational and self-management skills with competing priorities.
- Ability to work flexibly, both independently and in a small team - initiative is essential.
- Excellent written and oral communication skills in English.
- Ability to contribute to the effective delivery of Embassy services by providing courteous, prompt, and efficient support to a diverse range of stakeholders.
- Ability to work harmoniously with team members in a busy environment by demonstrating flexibility, reliability, adaptability, initiative and resourcefulness.
- A valid residence permit/citizenship allowing employment in Ireland.
